Creating Recurring Calendar Activities


You may find that you have to schedule recurring meetings. Instead of creating a new meeting every time it occurs, you can create one activity and set it to repeat at specific intervals.

CAUTION:  When you modify a repeating appointment and click Save All, the changes you made will be applied to the current appointment and to every future appointment in the series. However, every previous appointment in the series will not reflect the changes.

To create a recurring activity

  1. Navigate to the Calendar screen.
  2. In the Daily, Weekly, or Monthly view, click New.

    The Calendar Detail form appears.

  3. Complete the fields.

    The following table describes some of the fields.

    Field
    Description

    Alarm

    (Optional) Select this check box to trigger an alarm for this activity.

    There is a user preference that automatically turns on the alarm each time you create an appointment. For more information, see Turning On Alarms for All Calendar Activities.

    Repeat Frequency

    Select Daily, Weekly, Monthly, Quarterly, or Yearly, depending on how often you want this activity to repeat.

    See Table 17 for details about the Repeat Frequency values.

    Repeat Until

    (Optional) Click the Calendar button in this field to select the date on which the activity should stop recurring.

  4. Click Save This One.

To change a recurring activity to a nonrecurring activity

  1. Navigate to the Calendar screen.
  2. In the Daily, Weekly, or Monthly view, click the Description hyperlink to access the activity.

    The Calendar Detail form appears.

  3. From the Repeat Frequency drop-down list, choose Non-Repeating.
  4. Click Save All.

    All future instances of the activity are deleted. The activity for the current day and previous instances of the activity are not deleted.
