Submitting a Time Sheet


After end users create a time sheet and add line items to it, it can be edited as necessary until it is submitted for approval.

When end users submit a time sheet, the application automatically routes it to whomever is specified in the Submit To field for evaluation. By default the value in the Submit To field is the User ID of the end user's manager. If the time sheet should be submitted to someone other than an end user's manager (such as the team leader or project manager), end users can change the value either before or after the time sheet is submitted—the Submit To field remains editable after the time sheet is submitted, as do the Private Comments and Public Comments fields.

NOTE:  If the Siebel administrator activates email notification for time sheets, an email is sent when end users change the Status field to Submitted to notify the time sheet approver that a time sheet needs to be approved. Each submitted time sheet is either approved or rejected by the person specified in the Submit To field. If that person approves the time sheet, the application checks whether the total number of hours reported on the time sheet requires further approval, and, if so, the time sheet is routed to the next approver. As soon as the time sheet is approved by someone who is authorized to approve the total number of hours, the time sheet is routed to the financial department, so customers can be invoiced for billable time.

The following procedure explains how to submit a time sheet for approval.

To submit a time sheet

  1. Navigate to the Time Sheets screen.
  2. In the Time Sheets list, select the time sheet record you want to submit, and then click Submit.

    The value of the Status field changes to Submitted, and an email message is automatically sent to the person who is specified in the Submit To field, notifying them that there is a time sheet for them to approve.

    NOTE:  If your time sheet is rejected or revoked, you need to recall it, make the necessary changes, and then resubmit it.
