Using Drag and Drop Operations in the Function Space Diary


Users can perform drag and drop operations in any view of the Function Space Diary. The following examples illustrate typical drag and drop operations.

NOTE:  Users cannot drag a booking to a position that has no y-axis bar.

Dragging a Booking to a Different Time, Different Function Space

Users can drag the booking to a different time, drag the booking within the same time period to a different function space, or drag the booking to a new function space at a different time. While moving the booking, they can drag and scroll at the same time.

NOTE:  When users attempt to drag a booking to a new function space or time period in the Compact Diary view, they must confirm the action by selecting the appropriate function space from the Pick Function Space dialog box that appears.

Specific Space Booking Conversion to Category Booking

If users want to convert a specific space booking into a category booking, they can drag the specific space booking and position it on the category bar. If possible, the booking is temporarily assigned and shown against the specific space. If the booking is not assigned, it still appears under the category bar.

Category Booking Conversion to Specific Space

Temporarily Assigned category bookings can be converted to specific space by dragging and dropping the category bookings to the specific space. Category Overflow bookings dragged to a specific space are automatically converted to a specific space.

Optioning and Overbooking on a Specific Space

If a specific space booking is dragged to another booking (a specific space or a dependency), a dialog box appears notifying users that the selected function space time conflicts with an existing booking. They can choose to change the booking to an option, overbook, or cancel the change by clicking the appropriate buttons (Overbook, Option, Cancel) in the dialog box. Users can also click OK to acknowledge that the booking was unsuccessful and allow it to remain unreserved.

Optioning and Overbooking on a Category

Users can drag a booking and drop it onto the category bar. If possible, the booking is automatically reserved and assigned. If the booking cannot be reserved, a dialog box appears notifying them that a conflict exists. Users can choose to change the booking to an option, overbook, or cancel the change by clicking the appropriate buttons (Overbook, Option, Cancel) in the dialog box. They can also click OK to acknowledge that the booking was unsuccessful and allow it to be unreserved.

Moving Suite Functions

If a function is scheduled to take place in a reserved suite, the function cannot be moved to a different function space. However, users can move the function to a different period within the suite's time range. Drag the ends of the function indicator bar to change the start and end times.

Moving Bookings with Associated Backup Spaces to a New Time

When moving active bookings to a new time period, the backup space must also be able to move to the new time for the booking to be successful.

If the active space can be moved but the backup space is unavailable for the new time period, a dialog box appears, allowing users to option, overbook, cancel, or unreserve the booking.

If the active booking cannot move to the new time period due to conflicts, a dialog box appears, allowing users to option, overbook, cancel, or unreserve the booking. If a user clicks OK, both the active and the backup bookings are unreserved.

If users can successfully option or overbook the function space time for the active booking, the backup space is also moved to the new time.

If conflicts arise when the system tries to move the backup booking, users can try overbooking or optioning the backup space time using the dialog box that appears. However, if this is unsuccessful, the backup booking must be unreserved or the change cancelled.

Moving Bookings with Associated Backup Spaces to a New Space

When moving active bookings to a new function space, the system verifies whether the new function space also requires a backup space.

If the new space does not require a backup space, and the function space is available for the active booking, a dialog box appears, prompting users to choose whether or not to keep the backup space booking. Depending on their selection, the backup space booking is marked as unreserved or kept.

If the new space does not require a backup and the function space is unavailable for the active booking, users can try overbooking or optioning the function space using the dialog box that appears. If the function space can be optioned or overbooked, they are asked to choose whether or not to keep the associated backup space booking. If it is not possible to option or overbook the function space, the active booking must be unreserved or the change canceled.

If the new space does require a backup space, and the function space is available for the active booking, a dialog box appears, prompting users to choose whether or not to keep the backup space booking. Depending on their selection, the backup space booking is reserved or unreserved.

If the new space does require a backup and the function space is unavailable for the active booking, users can try overbooking or optioning the function space using the dialog box that appears. If the function space can be optioned or overbooked, they are prompted to choose whether or not to keep the associated backup space booking. If it is not possible to option or overbook the function space, the active booking must be designated as unreserved or the change canceled.

Swapping Specific Space Bookings

If a user wants to swap specific space bookings, for example swapping spaces A and B, that user can drag space A onto space B. Space B becomes either optioned or overbooked. The user can then drag space B to the place on the Gantt chart previously occupied by space A.

Extending Bookings

Users can extend a booking by dragging either end of the booking's indicator bar. Drag the right side of the indicator bar to extend the booking into a later time period and drag the left side of the indicator bar to extend the booking into an earlier time period. They can use the ToolTip to check the precise time period to which they have extended the booking.

Setup Style Conflict

If users drag a booking onto a specific space that does not accommodate the booking's setup style, the following message appears:

Invalid combination of function space and setup style.

Turn Time Conflict

If users drag a booking with a turn time that overlaps with the turn time of another booking, the following message appears:

This booking has created a turntime conflict.

Ineffective Function Space Conflict

If users drag a booking to an ineffective specific space or category, the following message appears:

The function space is unavailable during this time frame.

Backup Booking Conflict

If users drag an active booking that has an associated backup booking to another function space, the following message appears:

The function space you are trying to move has related function spaces.

If users attempt to drag a backup booking to a different time period, the following message appears:

Moving of a non-primary function space booking to a new time is not permitted. Please move the primary function space booking instead.

NOTE:  It is possible, however, to drag a backup booking to a different function space.

When they attempt to drag an existing active booking to a time period already occupied by another booking, the following message appears:

The function space booking was unsuccessful. Please choose from one of the following options: OK, Option, Overbook, or Cancel.

If the function space booking cannot be optioned or overbooked, it will become unreserved. Non primary spaces for the function (if any) will be unreserved as well.

NOTE:  When users successfully drag an active booking to an available time period, the backup booking moves with it.
