Revising, Testing, and Activating Workflow Processes


Siebel Email Response comes with a number of predefined workflow processes, which allow organizations to deploy Siebel Email Response without having to create an entire workflow. Some organizations may want to use one or more of these workflows with a few modifications. An organization with complex needs might want to revise one of the existing workflows or create its own custom workflow. See Siebel Business Process Designer Administration Guide for information about creating or revising a workflow process. You activate workflows in the Repository Definitions view under the Administration - Business Process screen.

Determining Workflow Status

Workflows are shipped with a status of Completed. You may want to make changes to the workflows, but it is not required. A workflow can have the following status:

  • Completed. Preconfigured Siebel Email Response workflows have a status of Completed. Completed workflows must be activated before they can be used.
  • In Progress. You must change the status of a workflow process to In Progress before you can make changes to it.
  • Active. An activated workflow will be used to process Siebel Email Response work items. Only one workflow for each process can be active.
Setting the Workflow Step Execution Log Level

The Workflow Step Execution Log Level allows you to follow the steps in a workflow as it processes an email. The following procedure describes how to set the Workflow Step Execution Log Level.

To set the Workflow Step Execution Log Level

  1. From the application-level menu, choose Navigate > Site Map > Administration - Server Configuration > Servers.
  2. In the Siebel Servers list, select the server containing the workflow whose status you want to check.
  3. Click the Components view tab.
  4. Perform a query for Communications Inbound Receiver.
  5. In the Components list, select the Communications Inbound Receiver.
  6. Click the Events subview tab.
  7. In the Event Type list, perform a query for Workflow Step Execution.
  8. Select Workflow Step Execution and set the log level to 5.

Revising Workflow Processes

Some organizations may want to use one or more of these workflows with a few modifications. An organization with complex needs might want to revise one of the existing workflows or create its own custom workflow. See Siebel Business Process Designer Administration Guide for information about creating or revising a workflow process. The following procedure describes how to revise a workflow process.

To revise a workflow process

  1. In the Siebel Tools Object Explorer, select the Workflow Processes object.
  2. In the Workflow Processes list, perform a query for Process Name = eMail*.
  3. In the Workflow Process list, select the workflow process you want to change and click Revise.

    The status of the workflow process changes to In Progress.

  4. Right-click the workflow process you want to change and choose Edit Workflow Process.

    The Business Process Designer appears.

  5. In the Business Process Designer, make your changes to the workflow process and return to Siebel Tools.
  6. Right-click the workflow process you have made changes to and choose Validate...
  7. In the Workflow Processes list, select the workflow process you have made changes to and click Deploy.

Testing Workflow Processes

Before activating a workflow process, you can test it to make sure the workflow is functioning correctly.

To test a workflow process

  1. In the Siebel Tools Object Explorer, select the Workflow Processes object.
  2. In the Workflow Processes list, perform a query for Process Name = eMail*.
  3. Right-click the workflow process you want to test and choose Simulate Workflow Process.

Activating Workflow Processes

You must activate all Siebel Email Response workflows before starting Siebel Email Response. From the application you can only view and activate workflow processes. If you want to make changes to the workflow processes you must use Siebel Tools. A server parameter (Workflow Version Checking Interval) controls how often the server component checks for recently activated versions of each process definition. Workflows are refreshed approximately every hour. After each refresh, recently activated workflows are available. You activate workflow processes by completing the following procedure.

To activate workflow processes

  1. From the application-level menu, choose Navigate > Site Map > Administration - Business Process > Workflow Deployment.
  2. In the Repository Workflow Processes list, perform a query for Siebel Email Response workflow processes with a status of Completed.
  3. Select the workflow process you want to activate and click Activate.

    In the Repository Workflow Processes list, the Status of the workflow processes changes to Active.

  4. Repeat Step 1 through Step 3 for each Siebel Email Response predefined workflow you want to use. For a list of predefined Siebel Email Response workflows, see To see a list of preconfigured Siebel Email Response workflows.
