10 Entering Data for Human Resources Government Reports

Organizations complete government reporting requirements that enable the Equal Employment Opportunity Commission (EEOC) to track and evaluate data regarding the equal treatment of employees in the workplace. Human Resources enables you to build reports for a variety of government reporting requirements.

10.1 (USA) Entering EEO-1 Information

This chapter provides an overview and discusses how to enter EEO-1 (Equal Employment Opportunity-1) information.

10.1.1 Understanding When to Enter EEO-1 Information

You enter EEO-1 reporting information when:

  • This is the first time that you are using Human Resources to run an EEO-1 report.

  • You need to revise company information for the EEO-1 report.

After you enter the required EEO-1 information, run the EEO-1 report.

The system stores the required values in the EEO-1 Annual Data table (F05850) so that you can report them on the following year EE0-1 report. When you run the report, the system lists the prior year reporting information and also calculates the current year gender and ethnicity totals.

10.1.2 Components of the EEO-1 Report (Release 9.1 Update)

The EEO-1 report has two components.

Component 1 contains employee count grouped by the employees' ethnicity, race, and sex, and then by job category.

Component 2 contains two sections for employee count. One section is for number of employees and the other is for total number of hours worked by the employees. These numbers are grouped by the employees' ethnicity, race, and sex, and are further classified under the 12 pay bands for each of the 10 EEO-1 job categories.

  • The employees' W-2 earnings reported in Box 1 of the W-2 form are used as a reference to categorize the employees into the 12 pay bands or salary compensation bands defined for each of the 10 EEO-1 job categories.


    Note:

    The system provides defined pay band codes 05U/PB for the years 2017 and 2018.

  • The total number of hours worked annually by the employees is included in each of the EEO-1 pay band cells. The report also provides an aggregate of total number of hours worked by employees in each category.


Note:

The Component 2 EEO-1 reports for calendar years 2017 and 2018 must be submitted through the Component 2 EEO-1 Online Filing System or as electronically transmitted data files by September 30, 2019.

10.1.3 Form Used to Enter EEO-1 Information

10.1.4.1 Counts

EEO Company (Equal Employment Opportunity Company)

Enter a code assigned by the U.S. Equal Employment Opportunity Commission (EEOC) that identifies a specific organization, fund, entity, and so on. The code is used for government reports, such as EEO-1. Do not include dashes with keyed value. Appropriate dashes will be added when reports are printed.

Century/Year

Enter the year for which you are reporting.

EEO Unit (Equal Employment Opportunity Unit)

Enter a code assigned by the U.S. Equal Employment Opportunity Commission (EEOC) that identifies a specific business unit, location, establishment, and so on.

The code is used for government reports, such as EEO-1. Do not include dashes with keyed value. Appropriate dashes will be added when reports are printed.

Industry Classification

Enter a code used to classify goods and services. This code can be in the format specified by any one of these classification systems:

  • Standard Industrial Classification (SIC) or North American Industry Classification System (NAICS).

    Numerical systems that the United States uses to classify goods and services. A code in the SIC format is four digits. A code in the NAICS format is six digits.

  • Harmonized System (HS).

    The international method of classifying goods. More than fifty countries use this system. A code in the HS format can be up to 10 digits.

  • Standard Industrial Trade Classification (SITC).

    A numerical code system developed by the United Nations to classify goods used in international trade. International organizations use this system. A code in the SITC format can be up to six digits.

(Release 9.1 Update) EEO Job Category

Enter a user defined code (06/J) that specifies classifications established by the U.S. Equal Employment Opportunity Commission (EEOC) or the Canadian Employment Equity Occupational Group (EEOG) for use in reporting levels of minority employment. Do not change any of the codes provided by J.D. Edwards. You can add codes if needed.

(Release 9.1 Update) EEO Pay Band

Enter a user defined EEO-1 Pay Bands code (UDC 05U/PB) that defines the range (band) of compensation given for certain roles.

The value of each pay band is defined starting with an alphabet, followed by a two digit reporting year, such as "A18", "B18", "C18", etc. up through the total number of pay bands. The starting and ending compensation range for each pay band is defined in the Description 01 and Description 02 fields in the User Defined Codes program (P0004A).

EEO White Males (Equal Employment Opportunity White Males)

Enter an amount that represents the number of white males employed by a business unit, establishment, and so forth during a date range. Use the number for government reports, such as EEO-1.

EEO Black Males (Equal Employment Opportunity Black Males)

Enter an amount that represents the number of black males employed by a business unit, establishment, and so forth during a date range. Use the number for government reports, such as EEO-1.

EEO Hispanic Males (Equal Employment Opportunity Hispanic Males)

Enter an amount that represents the number of Hispanic males employed by a business unit, establishment, and so forth during a date range. Use the number for government reports, such as EEO-1.

EEO Asian Males (Equal Employment Opportunity Asian Males)

Enter an amount that represents the number of Asian males employed by a business unit, establishment, and so forth during a date range. Use the number for government reports, such as EEO-1.

EEO Indian Males (Equal Employment Opportunity Indian Males)

Enter an amount that represents the number of Indian males employed by a business unit, establishment, and so forth during a date range. Use the number for government reports, such as EEO-1.

EEO White Females (Equal Employment Opportunity White Females)

Enter an amount that represents the number of white females employed by a business unit, establishment, and so forth during a date range. Use the number for government reports, such as EEO-1.

EEO Black Females (Equal Employment Opportunity Black Females)

Enter an amount that represents the number of black females employed by a business unit, establishment, and so forth during a date range. Use the number for government reports, such as EEO-1.

EEO Hispanic Females (Equal Employment Opportunity Hispanic Females)

Enter an amount that represents the number of Hispanic females employed by a business unit, establishment, and so forth during a date range. Use the number for government reports, such as EEO-1.

EEO Asian Females (Equal Employment Opportunity Asian Females)

Enter an amount that represents the number of Asian females employed by a business unit, establishment, and so forth during a date range. Use the number for government reports, such as EEO-1.

EEO Indian Females (Equal Employment Opportunity Indian Females)

Enter an amount that represents the number of Indian females employed by a business unit, establishment, and so forth during a date range. Use the number for government reports, such as EEO-1.
