Viewing Workflow Instances

You can use the Workflow Monitor to view instances of workflow Wait actions that are in a pending state, and if necessary, you can delete a pending action to terminate the workflow rule instance.

You can also view information about instances of workflow actions that terminated unexpectedly after the end of the wait period on a Wait action. For information about what is recorded and displayed on the Workflow Monitor, see Workflow Monitor and Workflow Instance Fields.

Before you begin: To use the Workflow Monitor, your user role must have the Manage Data Rules - Manage Workflow Rules privilege.

The following procedure describes how to view workflow instances in the pending or error state.

To view workflow instances in the pending or error state

  1. In the upper-right corner of any page, click the Admin global link.
  2. In the Business Process Management section, click Workflow Monitor.
  3. On the Workflow Monitor page, if the instance you want to view is not displayed in the Pending Instances list or the Error Instances list, click Show All in the appropriate list.
  4. In the Pending Instances List page or the Error Instances List page, filter the list to find the instance you want, as follows:
    1. Click a letter in the Alpha bar to show only workflow instances where the workflow name begins with that letter.
    2. Type characters in the text field, and click Go to find workflow instances where the workflow name begins with those characters.
    3. Click a column header to sort records based on the values in that column. An arrow next to the column header indicates which column the sort is based on, and whether it is sorted in ascending or descending order. By default, records are searched using the left-most column as the search key.
  5. To view details of an instance, click the Instance ID link.
  6. To view details of the workflow action of which the record is an instance, click the Workflow Action link.

Creating Lists of Pending Workflow Instances

You can create lists of pending workflow instances based on filters you define.

NOTE: You cannot create filtered lists of error instances (that is, instances that terminated unexpectedly due to an error).

The following procedure describes how to create lists of pending workflow instances that are based on filters you define.

To create a filtered list of pending workflow instances

  • In the Pending Instances List page, click Menu in the title bar, and select Create New List.

To manage lists of pending workflow instances

  • In the Pending Instances List page, click Menu in the title bar, and select Manage Lists Page.

The following procedure describes how to view the filter for a list of pending workflow instances.

To view details of the filter on a list of pending workflow instances

  • In the Pending Instances List page, click Menu in the title bar, and select Show List Filter.
