As you upgrade to new releases and service packs, you can upgrade any custom document publishing styles you have created in the Library. This applies to only document outputs, such as System Process, Training Guide, Instructor Manual, Test Document, Test Case, Job Aid, and Presentation. If publishing styles are not upgraded, they are not available for publishing or preview.


During the upgrade process for a custom document publishing style, the following things occur:

When the upgrade process is run, it looks at all the publishing styles in the Library and identifies all the custom document styles, regardless of language or category.


For major new releases, custom document publishing styles are automatically updated during the standard Upgrade process (when you upgrade your profile). However, if you import a custom document publishing style from a previous version after an upgrade, you are prompted to upgrade the custom document style(s) when you start the Publishing Wizard or when you preview content (for the category you are publishing).


For service pack releases, the Publishing Wizard checks the styles to determine if there are customized document styles (in all languages and the category you are publishing) from a previous version. If any are found, you are prompted to upgrade the styles before continuing in the Publishing Wizard. Therefore, if an author imports a custom style from a previous version, or if an upgrade failed because of lack of permissions or check out status, the style can still be upgraded and used to publish. Individual custom document publishing style document(s) in need of upgrade do not appear on the Formats list of the Publishing Wizard. Also note that a style is checked when you preview content and you are prompted to upgrade the style you are trying to preview.


The last page of the Publishing Wizard (Formats column) does not display any publishing style that requires an upgrade. To determine if there are styles that need upgrading, just start the Publishing Wizard, which notifies you if there are styles that need upgrading.


Note: This process assumes that you have created custom document publishing styles by making copies of the standard document publishing styles delivered in the System folder.


If you receive the following error message during the upgrade of a custom document publishing style, you must enable access to Visual Basic in Microsoft Word and then retry the upgrade.


"Trust access to the VBA project object model is not set in Microsoft Word."


If this message appears in the Activity log, you should do the following in Microsoft Word. Then restart the Publishing Wizard, select the custom document publishing style, and confirm the upgrade of the custom style. After the upgrade is complete, you can use the custom document publishing style to publish content.

  1. On the File menu, click Options.
     
  2. Click the Trust Center tab, and then click Trust Center Settings.
     
  3. Click the Macro Settings tab, click to select the Trust access to the VBA project object model option, and then click OK.
     
  4. Click OK.

Note: It is recommended that you change this Microsoft Word setting back after you complete the upgrade of your custom document publishing styles.
