White & Case LLP deployed Guided Self Service and Fluid approvals

White & Case LLP in conjunction with their partner Version1, deployed Guided Self Service and Fluid approvals with a customized approach to securing approvals before committing changes to Job, and used Page and Field Configurator to reduce the number of customizations previously made across 27 different components, enabling them to look at rapidly deploying new capabilities.

As part of their PeopleSoft HCM 9.2 Upgrade project, White & Case extended the use of Guided Self Service and Fluid Approvals to allow HR Managers, using row-level security rather then direct reports functionality, to submit and approve employee job-related changes prior to the changes being saved to the database (Job data component).

As part of their PeopleSoft HCM 9.2 Upgrade project, White & Case utilized Page and Field Configurator to reduce the number of minor customizations that had previously been made in 9.1. To date, Page and Field Configurator has been used across 27 different components.

On the 3rd June 2019 White & Case went live on PeopleSoft HCM 9.2 Image 27. Now, only two months later, in August 2019 they have embarked on a their first major enhancement and are in the early stages of implementing the delivered OnBoarding feature for new employee hires, rehires and contingent workers.

Why it’s great

Guided Self Service is a fantastic PeopleSoft HCM 9.2 feature which uses 'Direct Reports for Managers' functionality in order to identify the employee population associated with a manager. However, White & Case, in partnership with Version1, extended the use of this functionality to allow global HR Managers to submit employee Job changes for approval before committing them to the database. In doing so, 25 new GSS transactions were created.

The result has meant that HR Managers, who may not log into PeopleSoft on a daily basis, now have a set of simple, intuitive, guided processes for requesting employee job-related changes rather than having to enter the information directly into Job Data which was previously the case.

Additionally, being able to utilize Fluid Approvals along with GSS to approve the employee job-related changes has ensured the accuracy of the people data being saved to PeopleSoft HCM 9.2 has increased significantly improving the overall data integrity within the application and to downstream systems as well.

Utilizing Page and Field Configurator has allowed White & Case to retire a number of minor customizations that had been made in 9.1 across 27 components.

In addition, it has also allowed them to make changes quickly to non-production and production environments without the need for customizing or developer involvement (migrating projects etc).

A great example of this is, since their PeopleSoft HCM 9.2.027 go-live in June, White & Case have used Page and Field Configurator to make the GSS Requester comments box mandatory prior to submitting a GSS transaction rather than allowing the comments field to remain blank. In doing so, it means that the Approver always has additional information from the requester to work from when making their approve/deny decision. Using P&FC meant that this change could be done through configuration only, tested and migrated within hours.

I believe this shows that White & Case LLP are a forward looking organization. Recently completing a major PeopleSoft upgrade project from HCM 9.1 to HCM 9.2.027 in June this year could be enough for many organizations. However, White & Case are continuing to push-ahead and, now that they are on PeopleSoft 9.2, are already looking to leverage the OnBoarding functionality available to them. In doing so will improve the efficiency, accuracy, and timeliness in distributing New Joiner communication and eliminate the need to manually generate emails from multiple teams.
