Change Order Automation for Project Scope Adjustments
Perform a detailed impact assessment to track scope changes and automatically update the project plan when the change is approved. For example, capture changes by adding new task hierarchy or updating existing task dates. Upon stakeholder approval, implement these changes to the financial project plan automatically without any further involvement from the change order owner. In addition, visualize and review impacts with an intuitive side-by-side column layout comparing proposed and planned dates, quantities, and amounts at the assignment level, helping stakeholders make informed decisions quickly.
This builds on the 25B Change Order Automation for Financial Project Plan Amount Adjustments feature by extending support to scope tracking. Change assessors can now add new task to the existing hierarchy or update existing task dates to reflect new scope.
For example, there is a consulting project to design the Digital Roadmap Strategy for a client. Midway through execution, the client requests a new Competitor Benchmarking analysis. To cater to this scope addition, create a financial project plan impact assessment, select the Project Plan impact area in the Add Impact dialog box and start adding new tasks.
Addition of new task on the project plan
Subsequently, assign financial resources to the new tasks in the Resource Details tab. This helps the project team capture the increased cost and revenue due to the additional scope.
Add resource details for the newly created task
Optionally, adjust the task dates for existing tasks to accommodate the modified duration required for effective execution of the updated scope. Users will also be able to drill down and make modifications for resources in side-by-side columns by using an intuitive financial project plan view comparing the planned and proposed changes.
Ability to modify resource details in financial project plan view
Furthermore, users can choose to view tasks with change orders using the filter.
Ability to filter tasks with change orders
After the change order is approved and moved to the implementation stage, selecting the Implement and Mark Complete action will ensure that the impacts of new and modified tasks are reflected in the financial project plan.
Additionally, users can create new tasks for the project plan as change impacts in CREATE action mode, as well as modify the dates of existing tasks in UPDATE action mode, using the new ChangeImpactTaskDetails REST resource, providing streamlined, flexibility and automation in your existing change management integration solutions.
These are the business benefits:
- Improved project profitability and cost control by proactively assessing scope changes for financial and schedule impacts, helping prevent margin erosion and avoid unplanned disruptions.
- Reduced administrative overhead by automating updates to the financial project plan, by eliminating the need for manual entries, allowing the teams to focus on high value activities.
Steps to Enable
Use the Opt In UI to enable this feature. For instructions, refer to the Optional Uptake of New Features section of this document.
Offering: Project Financial Management No Longer Optional From: Update 26B
The Change Order Automation for Project Scope Adjustments feature is automatically enabled if the foundational 25B Change Order Automation for Financial Project Plan Amount Adjustments feature is enabled.
The feature opt-in choice is set to Yes by default, making it ready for immediate use. If additional time is needed before activating this feature, you have the option to set the Opt-in choice to No. This feature will be always enabled from update 26B.
Tips And Considerations
- When creating a new task, if a parent task isn't provided, it will be created as a new task in the existing task hierarchy under the root node.
- As a best practice, create child tasks after their parent tasks exist. Alternatively, you can create a new task and its child tasks simultaneously.
- When a change to a task is recorded within a change order, reviewing those specific changes in the financial project plan isn't supported.
- Change tasks filter in Manage Financial Project plan helps to review tasks being updated.
- Change orders don't support moving tasks across the hierarchy and deleting existing tasks.
