Creating Indivisible Specific Space


Indivisible space is a function space that cannot be subdivided. It is the basic component that a property offers for function space bookings. Examples are small salons, meeting rooms, and board rooms. Like any other function space, indivisible space occupies a physical area and has capacity characteristics. Depending on the location in the property, indivisible space units can be grouped to form a larger, configured space.

This task is a step in Process of Setting Up Function Spaces, Sleeping Rooms, and Suites.

To create indivisible specific space

  1. Navigate to the Property Administration screen > Properties list view.
  2. In the Properties list, query for the required property record.
  3. Click the link in the Property Name field, and then click the Specific Space view tab.
  4. In the Specific Space list, create a new record, complete the appropriate fields, and then save the record.

    NOTE:  The Revenue Category and Revenue Parent Category fields are automatically populated based on the selected Revenue Sub Category. To display other Specific Space fields, click the menu button and choose Columns Displayed. For example, the Floor Plan field allows an administrator to select an image of the floor plan with the specific space record.

    The following table describes the fields.

    Field
    Description

    Name

    The name of the specific space.

    Physical Area

    The physical area of the indivisible or configured space.

    Backup Required

    Indicates whether the specific space requires a backup function space. For more information, see Marking a Specific Space as Requiring Backup.

    Type

    A product type. This field is automatically set to Indivisible. When you have created a specific space or category, you can drill down on the Type field to define its features from the Product Key Features view.

    Description

    The description of the specific space.

    Display Sequence

    The user-defined sequence for the order in which the function space appears in the Function Space Diary.

    Compact Sequence

    The sequence in which the function space appears in the Function Space Diary's Compact Diary view. For more information about the Compact Diary, see Function Space Diary Views.

    Revenue Category

    The revenue category associated with the space. This field is automatically populated when the Subcategory is chosen.

    Revenue Sub Category

    The revenue subcategory associated with the space.

    Revenue Parent Category

    The revenue parent category associated with the space.

    Usable Area

    This value defaults to the Physical area, but it may be changed to be less than the Physical Area if necessary.

    Effective Start Date

    The date on which this space is available for use.

    Effective End Date

    The date on which this space is no longer available for use.

NOTE:  If specific spaces are not associated with revenue categories, then revenue rollup for the specific spaces does not occur.

To make a specific space effective between certain dates

  1. Navigate to the Property Administration screen > Properties list view.
  2. In the Properties list, query for the required property record.
  3. Click the link in the Property Name field, and then click the Specific Space view tab.
  4. In the Specific Space list, query for the specific space record.
  5. Verify that the Effective Start and Effective End fields are displayed.
  6. Click the calendar select button, and add dates for both fields to determine the dates between which the specific space is effective.

NOTE:  When effective start and end dates are defined for function spaces, these function spaces appear ineffective in the Function Space Diary on dates outside the effective period.
