How do I send a voicemail to a contact or personal distribution list?

  1. Log in to the Oracle Collaboration Suite and click Messages.
  2. Click the Directory tab.
  3. Click Help in the top right corner and follow the instructions for creating a contact or personal distribution list. Remember to assign a Speed Dial number to the distribution list or contact. You will use this number when you send your voicemail.

When you send a voicemail message, you can address the message to a contact or distribution list by entering the two-digit speed dial number. (For example, you must enter the leading 0 in 01.) You will need to remember the speed dial number associated with the contact or distribution list. Alternatively, you can create a voice tag which is a name you record for your contact or distribution list. If you create a voice tag, you will hear the recorded name instead of the assigned speed dial number. When you send a message, you will hear, "Press 1 to send your voicemail message to Cathy" rather than "Press 1 to send your voicemail message to contact 05." To create a voice tag, log in to the voicemail system through the telephone, press 5 on your telephone keypad (Set Greetings or Change Personal Options), and follow the prompts.

What number do I call to listen to messages on the Oracle Voicemail & Fax system?

If you are dialing in from your desk, the message or voicemail button on your phone transfers you to the Oracle Voicemail & Fax system. If you are calling from outside the office, dial the number provided by your system administrator.

How do I reset my voicemail password?

From the Telephone:

  1. Log into your voicemail system through the telephone.
  2. From the Main Menu, press 5 (Set Greetings or Change Personal Options).
  3. Press 3 (Change Password).
  4. Enter the new 7- to 12-digit password, followed by the pound (#) key.
  5. Re-enter the 7- to 12-digit password, followed by the pound (#) key.
  6. Press 1 to commit the new password and return to the previous menu.

From your PC:

  1. Log into Oracle Collaboration Suite using your e-mail ID and password.
  2. Click Messages.
  3. Click Preferences at the top of the page.
  4. Click the Voicemail/FAX tab.

    NOTE: Do not click the Change Password button on the Basic Settings page. This takes you to a page where you can reset your e-mail password.


  5. Enter your new 7- to 12-digit password in the New Voicemail Password box.
  6. Re-enter the new password in the Confirm New Voicemail Password box.
  7. Click Update Settings.

How can I be notified of new voicemail messages through my pager or cellular telephone?

The device you are notifying must be addressable with an e-mail address. The following are examples of internet-addressable devices:

  • AT&T Wireless cellular phone: 9165551212@mobile.att.net
  • Arch pager: 8775551212@archwireless.net


To activate this feature in your Oracle Collaboration Suite Voicemail box:

  1. Log into Oracle Collaboration Suite with your e-mail ID and password.
  2. Click Messages.
  3. Click Preferences at the top of the page.
  4. Click the Account tab, and click Filters in the Account Preferences menu.
  5. Click Create.
  6. In the Filter Name field, enter a name for your filter. This name will display on your pager or cell phone.
  7. Select Deliver from the Event list.
  8. In the Conditions section, click the radio button that says all.
  9. Select Subject from the Attribute 1 list.
  10. Select is equal to from the Operator list.
  11. In the Value field, enter: Voice Mail.
  12. In the Actions section, select send a notification to from the Command 1 list.
  13. In the E-mail Address field, enter the address of your pager or cell phone (for example, 6505551212@mobile.att.net).
  14. Click Submit.

How do people send me faxes?

Faxes can be sent to your direct phone number. If you answer a call and hear a fax tone, hang up and do not answer the next call, or follow the instructions to transfer a call directly to voicemail. Most fax machines will automatically re-dial the phone number if they do not connect the first time. Once a fax call is answered by the Oracle Voicemail & Fax system, the fax is stored in your e-mail Inbox along with your other messages and can be viewed using any viewer that supports TIF files.

Can I forward messages to someone who is not on the voicemail system?

You can forward the e-mail containing the voicemail attachment to any e-mail user. In order for the recipient to hear the voicemail attachment, they will need to have a media player that can play WAVE files, such as Real Player or Microsoft Windows Media Player.

Can I reply to messages from users who are not on the Oracle Voicemail & Fax system?

The voicemail application does not allow you to reply to forwarded messages from users who are not on the Oracle Voicemail & Fax system. Voicemail messages can be forwarded to the sender using your normal e-mail client.

Can I listen to my e-mail messages over the phone?

Text-to-speech functionality is not currently implemented using the Oracle Voicemail & Fax interface. This is planned for a future release. You can use Oracle Collaboration Suite Speech Access, if implemented, to listen to your e-mail messages.

How do I transfer a call directly to voicemail?

Follow these steps to transfer an incoming call directly to another user's voicemail:

  1. Follow your normal office procedure to initiate a call transfer.
  2. Dial the extension you want to transfer the call to.
  3. The system prompt says: "Please enter your mailbox number and press the pound (#) key. Or press the star (*) key to record a message for another user."
  4. Press the star (*) key while listening to this prompt.
  5. Enter the mailbox number you wish to reach followed by the pound (#) key.
  6. When you hear the greeting, follow your normal office procedure to activate the transfer and hang up.

What is the difference between a system greeting, a personal greeting, an alternate greeting, and an extended absence greeting?

Default System Greeting: The system plays a voice greeting indicating that you are unavailable, or if you have recorded your name, it will play your recorded name in the system greeting.

Personal Greeting: You record a personalized greeting for your mailbox. For example:

"This is John Doe of Oracle Corporation on Monday, September 13th. I am in the office today but am currently away from my desk. Please leave a detailed message after the tone."

Alternate Greeting: You record an alternative personalized greeting for your mailbox which can be used, for example, when you are away from the office or on vacation. For example:

"This is John Doe of Oracle Corporation. I am away from the office on business until Friday, September 17. I will be checking my messages periodically. Please leave a detailed message after the tone."

Extended Absence Greeting: You record a personalized greeting for your mailbox when you are away for a period of time and will not be checking voicemail messages. This greeting does not allow callers to leave a message. For example:

"This is John Doe of Oracle Corporation. I am on vacation until Friday, September 17. I will not be checking my voicemail messages. If you need assistance before I return, please contact Jane Doe at 650 546-8767."

What are these e-mail messages with voice attachments? What happened to my voice messages?

In Oracle Voicemail & Fax, all voice messages are stored in your e-mail account as e-mails with voice attachments. You can access these messages either through e-mail or the telephone. When you access a message over the telephone, Oracle Voicemail & Fax logs into your e-mail account and plays the voice messages in your Inbox. Please note the following:

  • If you delete a voice message through e-mail, you will not be able to access it over the telephone.
  • If you move a voice message to a different e-mail folder, you will not be able to access it over the telephone, although you will still be able to access the message through e-mail.
  • If you delete a voice message through the phone, you will not be able to access it through e-mail.
  • If you read a voice message through e-mail, even if you do not listen to the voice attachment, the message is considered a saved message, not a new message. You can access saved messages over the phone by pressing 3 from the Main Menu.

You may have a preference or filter that sends voice messages to the wastebasket or possibly to another folder. Check your e-mail server preferences, filters, or rules for your e-mail, and verify that your e-mail is not being deleted or automatically moved.

When I select a voicemail message in my e-mail client and try to play it on my computer, I cannot hear it. What's wrong?

It is likely that you do not have the proper plug in assigned to WAVE files in your preferences. Go to the RealOne Player Web site to download RealOne Player, or download another media player that supports WAVE files. If the WAVE files still will not play, follow these steps to assign the correct application to the WAVE files:

For Windows:

  1. Save the WAVE file.
  2. Double-click to open the file. A message appears prompting you to select the application to use to open the WAVE file.
  3. Choose RealOne Player or another media player from the list and click OK.

I've recorded my greeting but it doesn't play for my callers. What's wrong?

You have not activated the greeting you would like your mailbox to play. You can activate a greeting through the telephone or through the Web client.

From the Telephone:

  1. Log into your mailbox.
  2. From the Main Menu, press 5 (Set Greetings or Change Personal Options).
  3. Press 2 (Activate a Greeting).
  4. Choose from the following: Press 1 for Personal Greeting, press 2 for Vacation Greeting, or press 3 for Default Greeting.

From the PC:

  1. Log into Oracle Collaboration Suite with your e-mail ID and password.
  2. Click Messages.
  3. Click Preferences link at the top of the page.
  4. Click the Voicemail/FAX tab.
  5. Select the greeting you would like to activate from the Select a Greeting list.

NOTE: You must first record your personal and vacation greetings before they will appear as an option in the list.

After listening to my voicemail in the client, I log into my mailbox from the telephone, and the system prompt says I have "No new messages." I know I have messages. Are my messages lost?

No. When you double-click on a message in e-mail, it is marked as "Read." In the telephone interface, this message is moved to your saved message queue. This occurs even if you do not actually listen to the WAVE file attachment containing the voicemail message. If this should occur, you can listen to the message from the telephone interface by pressing 3 on the Main Menu.

When I try to delete my voicemail from my e-mail client I get the following error:
The current command did not succeed: The mail server responded: UID COPY failed: Failed to copy (Database error)
The IMAP message copy failed.

You have probably already deleted this voicemail message through the telephone interface. The IMAP server gives you this error because you are trying to delete a message that it cannot find. Remember that you no longer have two separate accounts for voicemail and e-mail. They are one account accessible through multiple interfaces. To avoid this error, if you delete your voicemail from your phone, do not try to delete the related e-mail message from your e-mail Inbox. The next time your e-mail client refreshes, this message header will disappear.

After deleting a voicemail through the phone, why can I still see the message in my e-mail client?

This occurs when the IMAP client running on your PC is set to poll for new messages, and you use the telephone to delete a message. The IMAP client on your PC has cached the message header information on the PC. Therefore, the deleted message remains in your Inbox until you restart your IMAP client or re-synchronize with the e-mail server.

Why are my messages not being delivered to my mailbox in a timely manner?

There are two possible explanations:

  1. Mail Backlog
  2. If there is a backlog in the delivery of mail (including e-mail, voicemail, and faxes), then delivery of your voice messages will also be delayed.

  3. Over Quota
  4. The second and the more likely explanation is that you may be close to your e-mail quota. Your voice and e-mail messages are both stored in your e-mail account and, therefore, count towards your quota. If you are close to or are over quota, your voice messages are queued for delivery until you clean out your e-mail account and increase the space in your account.
