2 Using Notifications

This section contains information on the following topics:

The Oracle Life Sciences Data Hub (Oracle LSH) Home Page displays all your notifications. You can use the View drop-down list to filter the displayed notifications. You must refresh the screen periodically to see the latest notifications.

About Notifications

Notifications are messages sent to you within Oracle LSH either to give you information or to request your approval. Notifications that do not require a response are called FYI (For Your Information) Notifications. Notifications that request a response are called Approval Notifications.

You can view a Notification by clicking its hyperlink.

View Use the View drop-down list to select which Notifications to display. The choices are:

The following information is displayed for each Notification. You can sort your Notifications by clicking on any heading: From, Type, Subject, Sent, or Due. By default they are displayed by date, with the most recent at the top.

From Name of the user who sent the Notification.

Type There are the following types of Notifications:

Subject The subject of the Notification; should contain information about the contents of the Notification. Click on the hyperlink in the Subject column to view the entire Notification.

Sent The date on which the Notification was sent.

Due The due date of the Notification. This is applicable only for Notifications of type Approval. If you do not respond by the due date, the Approval will either time out with a status of failure or go to a different person for approval.

Viewing Notifications

When you have Notifications and select a View that displays them, the following information is displayed for each Notification.

From The process that sent the Notification.

Type This information appears across the top of the screen, under the My Home and other tabs. It also states whether a response is required.

Subject The Notification displays a summary of its contents.

Sent The date and time of when the notification was sent.

Due A unique ID that Oracle LSH generates.

Status The status of the notification: Open, Closed, Cancelled (for Notifications that have timed out).

If a notification requiring approval has been approved or rejected, that information is contained in the body of the notification: "This notification was closed with status Approved/Rejected." The Status is set to Closed.

Message The system displays the message of the notification below these fields.

URL In the message, there may be a link to a report or other output. Click the link to display the output.

Acting on Notifications

For informational Notifications, click OK to indicate that you have read the Notification. Its status changes to Closed and it no longer appears as an Open Notification.

Select Display next notification after my response if you have multiple notifications to view and you prefer not to go back to the Home page and click on the next one. Whether you click OK, reassign the notification, or request information, when you have finished your work on the current notification, the system displays the next one in the order you have displayed

Click Reassign to reassign the notification to an alternate user. See "Reassigning Notifications".

Click Request Information if you need additional information regarding the notification. See "Requesting Additional Information".

Click Return to Worklist to return to the Oracle LSH Home Page.

Acting on an Approval Request

For Approval Requests, your choices are to:

Reassigning Notifications

If you are not able to action an assigned notification for any reason, you can reassign it to another Oracle LSH user.

To Reassign a Notification:

  1. In the Notification screen, click Reassign. The Reassign Notification screen appears.

  2. Select the user to whom you want to reassign the Notification. Click the search icon to search and select the required user. See Chapter 3, "Searching."

  3. Select one of the following:

    • Delegate your response. Select this option if you want to give the new user authority to respond to the notification on your behalf, but you want to retain ownership of the notification yourself. For example, a manager might delegate all vacation scheduling approvals to an assistant.

    • Transfer notification ownership. Select this option if you want to give the new user complete ownership of and responsibility for the notification. For example, use this option if you should not have received the notification and you want to send it to the correct recipient or to another recipient for resolution. A transfer will have the effect of changing the approval hierarchy for the notification. For example, a manager might transfer a notification about a certain project to another manager who now owns that project.

  4. Include any additional comments for the new assignee.

  5. Click Submit. The system sends the request to the specified user and returns to your Home Page.

Requesting Additional Information

As part of the notification process, you can request additional information from either members of the workflow or any other Oracle LSH user.

To Request for Additional Information:

  1. In the Notification screen, click Request Information. The Request Information screen appears.

  2. Use the Request More Information From option to specify the user or role from whom you want to request information.

    • Workflow Participant. To specify another user or role previously involved in this workflow process, select this option and select the user or role you want from the pull-down menu.

    • Any User. Select this option to specify any Oracle LSH user. Click the search icon to search and select the required user. See Chapter 3, "Searching."

  3. In the Information Requested box, type the information you need from the user.

  4. Click Submit. The system sends the request to the specified user and returns to your Home Page.
