Styles provide much greater flexibilty over direct formatting for formatting content. The Replace Font dialog box provides the tools to help you move your content from direct formatting to styles. Style replacement only affects web pages as styles can only be applied to web pages. When you replace with a style, all Apply to options that relate to topic bubble text are inactive because the replace process ignores all topic text.

 

Replace Direct Formatting with a Text Style

If you have web pages formatted with manually applied formatting, the Replace Font dialog box can help you replace that formatting with text styles.

 

You replace direct formatting with a style by specifying the direct formatting you want to replace in the Find What section and the style sheet and style name in the Replace With section. A style sheet must link to the content to be available for selection from the Replace With section. Several style sheets may appear in the style list if the selected documents and related documents link to more than one sheet.

 

Note that only text styles are relevant for replacing direct formatting; which means that only text styles appear in the Style name list. You cannot replace simple direct formatting with a paragraph style. A preview of the replacement style appears in the Example box.

 

Replace a Style with another Style

You can also use the Replace Font dialog box to replace one style with another style; however, both styles must be from the same style sheet and of the same element. After selecting a style sheet in the Find What section, you are prevented from selecting a different style sheet in the Replace With section. After selecting the style you want to find, the replacement choices are limited to styles of the same element. For example, you cannot replace a table with a list style. You can preview the replacement style in the Example box.

 

ProcedureTo replace direct formatting with a style:

  1. From the Library or Outline Editor, select one or more documents or folders containing the documents in which you want to replace a font.
     
    You can select multiple documents using the standard Windows selection keys (CTRL+click and SHIFT+click).
     
  2. On the Edit menu, choose Replace Font.
     
  3. In the Direct formatting row of the Find what section, select the font family, font size, unit, and font style you want to replace.
     
  4. In the Style row of the Replace with section, select the select the style sheet and the name of the style to replace the direct formatting.
     
    Note: Only the style sheets that are linked to the content appear in the Style sheet list.
     
    A preview of the replacement style appears in the Example box.
     
  5. Select or deselect Include related documents.
     
    If you include related documents, click View related documents to see the documents included in the search and replace.
     
  6. Enable Web page text in the Apply to field.
     
  7. Click Replace.
     
    If you are working in the Outline Editor, a Replace Confirmation message appears indicating that you cannot undo changes made during font replacement. Click Yes to continue or No to cancel the font replacement process.
     
    The Developer searches the topics and web pages in the selection and replaces every occurrence of the search font with the specified replacement font.
     
  8. Click OK when notified that the font replacement is completed or that the font cannot be found in the selected content.
     
    If one or more replacements were made, you can also click the View activity log link to see a list of documents in which replacements were made and the number of replacements in each document.
     
  9. When you are done replacing fonts, click Close.

ProcedureTo replace a style with another a style:
