Griffith University, in conjunction with their partner Presence of IT, is recognized for deploying a tailored Fluid WorkCenter for HR administrators that leverages pivot grids so the system highlights transactions that need input or attention, as well as the extensive use of HCM Guided Self Service for managers and employees, resulting in operational savings of AUD $350,000 annually.

Innovation 1: Fluid pivot grids for HR WorkCenter
  • Assisted in the design of the Fluid HR work Center that was deployed for HR admin teams to monitor all ESS/MSS GSS transactions. Pivot grids and charts were used to display individual groups Job Data health.
  • HR work Center displayed and highlighted transactions that needed HR Admins input or attention. The idea was to have the system indicate what needs attention, when HR Admin logins instead of proactively going looking for data inconsistencies or errors.
  • Another place Pivot grids were used was to deploy Job Select. Job Select is an crucial factor when deploying GSS for ESS. In cases where EE are active in concurrent jobs, they need to be able to select which Job they are initiating the GSS request for. So instead of using a custom page, we deployed pivot grid with drill-able queries. Also, meta SQLs were used in these drill-able queries so that employee sees only their data
Employee guided self service - GSS Extension
  • Fabulous workarounds and minor customizations in Guided Self Service at Griffith University to enable enormous business process requirements that were FULLY automated to reduced 4 FTEs and save $350K USD per year. The end user feedback has been excellent. The same transactions are now copied by University of New South Wales too.
  • Guided Employee Self Service (GSS) was in the roadmap. However, the client needed it today. Vishal did a very minor customization (bolt-on) to enable that functionality in a way that will make transition to the delivered functionality when available easier for the client.
  • As delivered GSS is only available for Managers. To enable GSS for ESS a minor customization / bolt-on was required on the GSS App Package. The customization was to remove the "reports to" (manager) validation. Instead of doing that we used an existing custom config table to capture ESS/MSS (Text) against each of the GSS Transaction. SQL was executed in delivered GSS app package to look at the "Text", if MSS only then the manager check validation was executed.
  • Configuration Workaround: Once the GSS transaction was made available in ESS, the challenge was to enable Employees to select a transaction for their own Job and update DB at the end to the process. This meant we needed to pass key parameters like employee ID and Empl Record ID. We achieved this by using Related Content Service with mapped parameter that point to custom content reference.
