Availability Search Screen

Use the Rate Availability Search results screen to see at a glance complete information about available room types, rates, rate codes, and packages based on specified search criteria. Search results display single or multiple properties and multiple rates for each property. This display defaults to the selected arrival date defined in the search criteria, checking the property restrictions and displaying the availability information. Properties with no room availability and unavailable rate codes and room types display as red text.

Screen Options

Tabs. A maximum of 4 tabs (one for each selected property) display at the bottom of the Availability screen if more than three properties are selected from the Property screen. A maximum of 10 properties at a time can be viewed here. Use the tabs to navigate between property grids. Navigational arrows are available to the left of the property tabs.

Blue Border. Indicates the active property or the cursor position in the property grid.

Property Rate Grid

The Rate Availability Search screen defaults to the selected arrival date defined in the search criteria, checking the property’s restrictions and displaying the availability information accordingly.

Within each grid displayed on the multi property Rate Availability Search results screen, the property’s physical inventory levels display, which includes overbooking (a combination of physical inventory plus defined overbooking limits). Select one or multiple properties to display in the rate availability search. The Property Rate Grid area displays rate information for up to ten properties at one time.

Property Name. The property name addresses the top of each grid identifying multiple properties. When the cursor pauses over the property name, the full property name displays as screen tip text.

Room Type Codes. Room type identifiers (DLXK, DLXD, STDK, STDD, STE, EXEC). Select a code to display full room type detail in the Information Display Box to the left.

Inventory. Displays total number of available physical rooms per room type excluding the out-of-order rooms and including sell-limits.

Rate Codes. Displays available rate codes for the stay as defined in the Define Search screen and rate codes attached to the individual profile. Select a code to display full rate code detail in the Information Display Box to the left once the Rate Detail option from the tree is selected.

Currency Code. Currency identifier relating to the rate amount (USD, BP, FFR). A blank field defaults to the local currency of the property. SR indicates a suppressed rate (quotes for travel agents, wholesalers, weekend packages, special deals) .

Rate Amounts. Displays rate amounts per room night.

Explorer Tree

Restrictions. Depending on the rate code and room type combination the cursor is placed on, the associated restrictions display in the Information Display Box below. You can also view restrictions for Room Class, Room Type, Rate Class, Rate Category, and Rate Code or any combination regardless of where the cursor is placed. Select a combination of room and rate by pressing down the control key and selecting the required room/rate restriction combination viewing the corresponding restriction in the Information Display Box below.

Rate Information. Rate Information displays information relating to the particular rate code and room type combination. You can view details for a specific day (details on room revenue, package summary, tax totals) .

Double click the date hyperlink to view the rate details. Rate details viewed display any generates or prices attached to the room transaction codes. A grand total is also available. Click again on the back hyperlink to return to the previous view.

If no rate code is available for the selected room type, a message displays with the rate detail breakdown to identify that no rate code exists for that room type, and displaying zeros in the rate details grid.

Room Details. Displays a quick view of detailed room information at the selected property including room type, room description, total number of the selected room type, and the current housekeeping status of the rooms at the property.

Alternate Information. Displays alternative arrival dates in calendar format for the guest stay based on the defined criteria in the Search screen. From the alternate information choose from the properties defined in the Search screen from which to view alternate dates.

Alternate Dates for the stay at the same property for the month in the Search screen display in green on a calendar. Highlighted alternate dates meet the criteria defined in the search. If the date is highlighted in green, this guest may arrive on this date for the search criteria to be met.

Click the Next > button to see alternate arrival dates highlighted in green for the next calendar month, and the Previous < button to display the alternate dates for the guest arrival date in green for the previous calendar month of the dates specified in the Search screen.

Information Display Box

The Information Display Box is the lower left panel beneath the Explorer Tree. Wherever the cursor is placed in the Availability grid the information panel displays short (summary) and long (detail) information about the rate code relating to the room type and rate code combination. As you move throughout the grid, this panel displays the current long description corresponding to the selected room type and rate code combination. When using the Explorer Tree and making a selection, this panel displays the corresponding information queried. This panel does not change as you position the cursor throughout the screen, but returns to defaulting to the short and long- information descriptions for the corresponding room type and rate code combination as selected by the cursor.

Query Box

Use the Query box to search through All Rates, Day Use rates, Closed Rates, and Negotiated rates. The Multi Property grids display all open rates available based on the search criteria.

All. Displays all rates including all restrictions.

Closed. Click the check box to view closed or unavailable rates.

Day Use. Display rooms occupied for day use (no room overnight) only.

Negotiated. Displays only if you select a profile with a preferred rate, or a company with a corporate rate.

Function Buttons

Below the property rate grid the following buttons display on the right side of the screen:

Waitlist. Accesses the Waitlist module so you can move the current reservation to the waitlist. When exiting the waitlist module by selecting Cancel, OPERA returns to the Availability screen.

Turnaways. Records a Turnaway (denials are property turnaways; regrets are guest turnaways) for the selected date and the reason for the turnaway (See Turnaways for details). Turnaway information is stored for statistical reports.

Res. Selects the rate code and room type combination from the cursor position and information from the Define Search screen and adds that information into the Reservation screen.

Close. Closes the Availability display and returns to the previous screen.

Right Mouse Click Menu

The right mouse click menu is active anywhere in the Property Rate Grid when a rate code is highlighted. If a single property is selected, the availability displays with an expanded view of the rate grid.

Reservation. Create the reservation.

Maximize/Resize. Resize the screen to include or exclude the number of added properties when multiple properties are selected. To expand a grid when multiple properties are selected, right click on the grid and selects the Maximize/Resize option.

Events. The Event Calendar provides the property with the ability to assign a day type and/or an event to a specific day plus high to low rates for use by a reservation agent. The grid displays the Date, Day, Day Type (low demand, high demand, Christmas) , Day, Description, and Events (Medical Convention, Sporting events). Use the Event Calendar function buttons to configure events that may affect the rates of the property.

New Property. Display the Add New Property dialog to enter additional properties to the existing list of property codes and names for the selected chain.

Rate Display Hierarchy

When working with profiles with rates attached, the following guidelines serve as the order for displaying these rates.

Company profile is attached to the reservation on the Define Search screen. The only rates to show initially within the rate availability grids are those rates attached to the company profile. If more than one rate code is attached to the company profile, the order is defined by the sequence number found on the rate code tab of the profile for which they are to display.

Individual profile is attached to the reservation on the Define Search screen. The only rates to show initially within the rate availability grids are those rates attached to the individual profile. If more than one rate code is attached to the individual profile, the order is defined by the sequence number found on the rate code tab of the profile for which they are to display.

Travel Agent profile is attached to the reservation on the Define Search screen. The only rates to show initially within the rate availability grids are those rates attached to the travel agent profile. If more than one rate code is attached to the travel agent profile, the order is defined by the sequence number found on the rate code tab of the profile for which they are to display.

Source profile is attached to the reservation on the Define Search screen. The only rates to show initially within the rate availability grids are those rates attached to the source profile. If more than one rate code is attached to the source profile the order is defined by the sequence number found on the rate code tab of the profile for which they are to display.

Multiple profiles attached. The company’s attached rate codes are to display first, the individual rates second, the travel agents rates third, the source rates fourth, and the group rates last.

Attached rate codes include both negotiated rates and preferred rates. Both the attached negotiated and the preferred rates display initially within the Rate Availability grids in the sequence as defined on the rate code tabs based on the scenarios of profiles outlined above.
