Batch Registration Cards

Use the Reservations>Registration Cards menu bar option to view and print registration forms for arriving guests. The Print Registration Forms screen includes a variety of filter options that allow you to identify the specific registration forms you want to view or print.

Enter appropriate filter criteria to identify the guests to print registration cards. When you are done, select the Print button to print copies of the registration cards on the local printer. Select the View button to launch the Adobe Acrobat Reader and display a PDF version of the registration card on-screen. If you like, you may use the Print feature on the Adobe Acrobat Reader screen to print the PDF after reviewing it.

The following fields are available on the Print Registration Forms screen.

Registration Form. Select the down arrow to display the Registration Forms list. From the list, choose the registration card form you wish to use for viewing and printing registration cards.

Note: A default registration card is provided with OPERA. However, your organization may wish to customize this form. The registration card form is included in the Registration Card report group (Configuration>General>Report Setup).

Arrival Date. Use the calendar tool to select the arrival date for which you would like to print or view registration cards. The default is the next business date.

ETA. Enter the Estimated Time of Arrival in the To and From fields to print the registration cards for the guest arriving between the entered times.

Reservation Types

Individuals. Select this check box to print or view registration cards for one or more individual reservations only.

Blocks. Select this check box to print or view registration cards for one or more selected business blocks only. When you select this check box, the Block(s) field appears. Select the Block(s) field down arrow to display the Select Blocks screen. From this screen choose the block or blocks to print or view registration cards.

Filter

Print if City is Omitted. Select this check box to print or view registration cards even if the city has not been entered in the guests’ profile. This check box is selected by default. If your registration form is designed to pull the guest's address information from the guest's profile and print it on the registration card, you may not wish to print or view the card if the guest's address information is incomplete. If this is the case, un- check this check box to avoid viewing or printing registration cards for guests whose profiles do not specify a city in their address information.

Only Reservations Made Today. Select this check box to print or view registration cards only for those reservations made on the current business date. By default, this check box is not selected.

From Name ... To Name. Enter last names in the From and To fields to define an alphabetic range of names to print registration forms. In the From field enter the starting name you wish to view or print and in the To field enter the final name you wish to view or print (for example, Carpenter to Estes). To print only one name, specify that name in both the From and To fields (for example, Hudson to Hudson). You can leave the To field blank if you want to print all names starting with the From name through the end of the alphabet. Leave both fields blank to print registration cards for all guests matching your filter criteria, regardless of their last names.

Room Class. Select the down arrow to display the Room Class screen. Select the room class or classes to print or view registration cards. Leave this field blank to print or view registration cards for all room classes. (This option is available when the General>Room Class application function is set to Y.)

Rate Code. Select the down arrow to display the Rate Codes screen. Choose the rate code or codes to print or view registration cards. Leave this field blank to print or view registration cards for all rate codes.

Membership Type. Select the down arrow to display the Select Membership Types screen. Choose the membership type or types to print or view registration cards. Leave this field blank to print or view registration cards for all membership types.

Promotion Code. Select the down arrow to display the Promotion List screen. This option is available if the Rates>Promotions application function is set to Y. Choose the promotion to print or view registration cards.

VIP Code. Available when the Profiles>VIP application function is set to Y, select the down arrow to display the VIP Codes screen. Choose the VIP codes to print or view registration cards. Leave this field blank to print or view registration cards for all VIP codes.

Include

Include In House Guests. Select this check box to print or view registration cards for in-house guests (that is for guests whose reservation status is Checked In or Due Out), in addition to guests whose reservation status is Reserved or Due In. By default, this check box is not selected.

Include Pseudo Rooms. Select this check box to print or view registration cards for guests assigned to pseudo rooms (that is, for rooms designated as posting masters), in addition to standard rooms.  By default, this check box is not selected.

Sort Order. Alphabetical, Room Class (when the General>Room Class application function is set to Y), Room Number

Note: You have the option of printing a registration card for the guest at check in time based on the value in the Reservations>Print Registration at Check In application setting. Registration Cards can also be printed from Reservation screen by selecting the Options button, then Register Cards button.
