Departure Report (departure_all with DEP1.FMX)

The Departures All Report lists all departure rooms scheduled for a specified date range. Day-use rooms are also calculated on the report. If the room is a share, an asterisk displays to the left of the name, and the room count will only display for the primary share, making the number of departure rooms accurate. The share indicator displays if the guest was a share at any time during the stay.

Selection Criteria

Departure Date Range

Select a From Date and To Date for the departure date range.  The Reservation does not need to be checked in to be included on the report.  This allows the report to include Future Departures.

From Date. Click the calendar button to select a From Date for the report.

To Date. Click the calendar button to select a To Date for the report.

Filter

Room Class. Multi select LOV for filtering on specific Room Classes.  The Room Class filter is only displayed when the General>Room Class application function is active.

Room Type. Multi select LOV for filtering on specific Room Types.  Only include those reservations that have the selected Room Type(s) attached to the Reservation.

Membership Type. Multi select LOV for filtering on membership types. Only include those reservations that have the selected membership type(s).

Payment Method. Multi select LOV for filtering on specific Payment Methods.  Only include those reservations that have the selected Payment Method(s) attached to the Reservation.

Departure Time. Enter a range of times a reservation is expected to depart. This time is pulled from the More Fields tab, if a guest is not actually checked out. If a guest has already departed, the actual departure time of the reservation is used.

Block Code. Multi select LOV for filtering on specific Blocks. The list of values validates on the selected Departure Date Ranges, and will only display Block Codes whose stay dates encompass that range.

Rate Code. Multi select LOV for filtering on specific Rate Codes that are attached to a Reservation. Only include those reservations that have the selected Rate Code(s) attached to the Reservation.

Specials. Multi select LOV for filtering on specific Special Requests.  This only includes those Preferences that are in the Special Requests Preference Group.  Only include those reservations that have the selected Special(s) attached to the Reservation.  

Note:  To display the Special Requests on the report, the Specials check box in the Include section of the form must be selected.

Authorizer. Multi select LOV for filtering on specific Authorizers.  Only include those reservations that have the selected Authorizer(s) attached to the Reservation.  The Authorizer field is only displayed if the OPP_GCA – Gaming and Comp Accounting add-on license is active.

Video Check Out Only. When the IFC>Video Check Out application parameter is set to Y, select this check box to display only guests who checked out by video checkout.

Note: The Checked Out check box will automatically be selected when Video Check Out Only is selected.

Late Check Out Only. If selected, the report will only display reservations where the departure time (actual or anticipated) is greater than the standard departure time of the property (configured on the Property Details screen).

VIP Only. Only include those reservations that have a VIP code attached to the Primary Profile.  When checked, a multi select LOV is displayed to allow for filtering on specific VIP codes. This check box is available when the Profiles>VIP application function is set to Y.

Include

Pseudo Rooms. Include reservation made for a Room type configured as a Pseudo Room.

Due Out. Display all reservations that would be Due Out during the selected Departure Date range.  This includes Reservations that are Checked In, Due Out, or still Reserved.

Checked Out. Only display those reservations who have a Reservation Status of ‘Checked Out’ – the Reservation HAS been checked out – this is not forecasting on when the Reservation will check out.

Note: Reservations with a Reservation Status of PROSPECT (non guaranteed), NO SHOW, CANCELLED, WAITLIST are NEVER displayed on the report.

Profile Type

Select to filter on specific profile types that are attached to the reservation.  When the Individual check box is checked, this means only display reservations that do NOT have a company nor agent nor group nor source profile attached.  By default, none of the Profile check boxes are selected.  This means the report will include ALL reservations, regardless of the profile attached.  Please note, regardless of selecting the check boxes, a column of Company/Agent/Source will always display on the report output.

Individuals. Select to display reservations that have an individual profile type attached.

Company. Select to display reservations that have a company profile type attached.

Travel Agents. Select to display reservations that have a travel agent profile type attached.

Source. When the Profiles>Source application parameter is set to Y, select to display reservations that have a source profile type attached.

Group. Select to display reservations that have a group profile type attached.

Display

Select each of the following check boxes to include additional information on the report:

Notes. When checked, all notes attached to the Reservation and primary Profile will be displayed on the report.  The user can select from a multi select LOV, specific Note or Comment types they would like included on the report.

Include Internal Notes. When the Notes check box is selected, this additional check box is also displayed to allow the option of including those Notes that have been marked as “internal”.  If this check box is NOT selected, the filter information on the report output does not display that “internal” notes are not included.

Balance. When selected, the report will display the current balance on the reservation.

Specials. When selected, the report will display Special Requests attached to the reservation.

Share Names. When selected, the report will display all names of guests sharing a reservation. Available when the Reservations>Shares application function is set to Y.

Alternate Names. When selected, the report will display the alternate names of the guest. Available when the General>Alternate Name application function is set to Y.

Membership Type. When selected, the report will display membership types attached to the reservation.

Membership Level. When selected, the report will display membership levels for membership types attached to the reservation. (Available when Membership Type is selected.)

Notes. When selected, the report will display reservation notes attached to the reservation.

Group By. Company Name, Travel Agent, Group Name, Source Name, Contact Name. (Available for selection only when the applicable application functions are active.)

Sort Order. Alphabetical, Departure Time, Room No, VIP, Company Name, Agent Name, Source Name, Group Name. (Available for selection only when the applicable application functions are active.)

Report Output

In the report output, if the Reservations>Room Limit Per Reservation application setting is set to 1 and the Reservation>Shares application function is set to N, then the Rms. column will not display.

For the Rooms (Rms.) column, a zero is displayed in this column for the guest that is part of a shared reservation that are not the Primary. For the Primary reservation, the number of rooms that are part of the reservation will be displayed.
