Key Packet Label Template

The key packet functionality provides a sample template that can be customized. The template is provided in BI Publisher format and can be printed for Individual or Block reservations, or as a batch process. For this functionality to be available, the RESERVATIONS > CUSTOMIZED KEY PACKET LABELS application parameter must be active. The workstation being used to edit and save new templates must have an active MS Word license.

Label size: 2.25’’ W by 4’’ H

Fields on the label:

The size can be adjusted as needed, based on the label sheets being used.

The template is part of the Key Packets Report Group.

Customizing Key Packet Labels

To customize and save new BI Publisher templates, the SETUP CONFIG > REPORT SETUP permission must be granted.

Select the menu Configuration > Setup > Report Setup > Reports > New. On the Reports - New screen, to define the label position for printing labels, enter the number of Rows and Columns to be used for the selected label template.

When customizing a sample Key Packet template, the copy must be renamed and saved within the Key Packet Report Group. The Key Packet screen then shows those reports that have been included in this Report Group.

Printing Key Packets (Front End)

Once configured, the Key Packet labels can be printed from three different areas.

Single Reservation

Select Reservations > Update Reservation > Reservation Options > Key Packets to open the Print Key Packet Labels screen.

Key Packet. Select the report. All saved reports in the Key Packets Report Group are listed.

Label Start Position. Define the position of the first available label on the sheet.

Block Reservations

Select Reservations > Block > Business Block > Options > Key Packets to open the Print Key Packet Labels screen.

Key Packet. Select the report (all saved reports in the Key Packets Report Group are listed).

Arrival Date. This must be a date within the block dates.

Block Code. This is populated with the one that was accessed.

Rate Code. Select the rate codes (all that are configured for that date in the property are listed).

Specials. Select the specials (all that are configured are listed).

Label Start Position. Define the position of the first available label on the sheet.

Sort Order. Sort by Alphabetical or Room Number.

Batch Process

Select Reservations > Key Packets to open the Print Batch Key Packet Labels screen.

Key Packet. Select the report (all saved reports in the Key Packets Report Group are listed).

Arrival Date. Select the arrival date.

Block Code. All blocks with stay dates including the entered Arrival Date are available.

Rate Code. Select the rate codes (all that are configured for the date in the property are listed).

Specials. Select the specials (all that are configured are listed).

Membership Type. All configured Membership Types are available. This is populated with the property’s configured Default Membership Type setting.

Label Start Position. Define the position of the first available label on the sheet.

Sort Order. Sort by Alphabetical or Room Number.
