Specials/Preference Forecast (sp_forecast with PRF4.FMX)

The Preference forecast displays all reservations that have a preference associated with them because the preference is attached to the reservation and/or to the guest's profile.  The filter criteria allows the running of the report based on a specific Preference Group (i.e. Specials, Newspaper, Room Features).  Additionally, the property can filter on a specific preference.

Note: If a preference within a specific preference group exists on the guest reservation and on the guest profile, the preference stated on the reservation is reported. However, all other preferences from the profile for other preference groups will be reported. For example if a guest has newspaper preferences of NEW YORK TIMES and MIAMI HERALD attached to the profile but on the reservation you attach a newspaper preference of LOCAL NEWSPAPER, then the report will only display the reservation preference of LOCAL NEWSPAPER. If the same guest also has a smoking preference of NON-SMOKING and on the reservation there is no smoking preference attached then the report will print the NON- SMOKING preference from the profile because it does not belong to the preference group NEWSPAPER.

You have the ability to print the report from current business date to any date in the future and on specific reservation statuses. This report should be useful to properties to meet the special needs or requests of their guests departing guests, or future arrivals. For instance, if a guest prefers a Bed Board in the room, the property could print this report and know that a guest is arriving on a certain date and they can have the request already met prior to the guest arrival.

A total of Rooms, Adults and Children will only be displayed if the Group By includes the selection of  'Preference'.  This is because each reservation will only display once under each preference and the totals will therefore be correct.

Selection Criteria

Date Range. Enter a From and To Date. There are three radio buttons to select the Reservation Status – Arrival Date, Stay Date and Departure Date.

Arrival Date. When selected, and the date range includes the current business date, there is a checkbox displayed to include guests that have ‘Checked In Today’.  If the date range does not include the current business date, the checkbox is not available.

Stay Date. When selected, there is a checkbox displayed to include guests that are ‘Departures’ within the selected date range.

Departure Date. When selected, and the date range includes the current business date, there is a checkbox displayed to included guests that have ‘Checked Out Today’.  If the date range does not include the current business date, the checkbox is not available.

Filters

Room Class. Multi Select LOV for filtering on specific Room Classes. Only include Reservations that are made for a Room Type that is in the selected Room Class.  The Room Class filter is only displayed when the General>Room Class application function is active.

Room Type. Multi Select LOV for filtering on specific Room Types. Only include those reservations that have the selected Room Type(s) attached to the Reservation.

Block Code. Multi select LOV for filtering on specific Block Codes.  The Block Codes displayed will filter on the Date Range entered, and only display those Block Codes that are active during that time.  The Block LOV is only displayed if the ‘Blocks’ checkbox in the Reservation Type section is selected.

Preference Group. Multi select LOV for filtering on specific Preference Groups.  Only those Reservations with a Preference within the selected Preference Group will be displayed on the report output.

Preferences. Multi select LOV for filtering on specific Preferences.  The List of Values works in conjunction with the Preference Group LOV.  Meaning, only those Preferences that fall within the selected Preference Group will be displayed in the LOV.  Only those Reservations with the selected Preference will display on the report output.

Reservation Type

Individual and Blocks. Select to include only Individual Reservations (there is not a Block Code on the Reservation) and/or Block Reservations (there IS a Block Code on the Reservation).  When selecting Blocks, a multi select LOV is displayed with the Booking Statuses configured for your Property.  When the Blocks checkbox is unchecked, the Block Code field in the Filter section is no longer displayed.

Display. Select the additional information you would like displayed on the report.

Notes. When checked, all notes attached to the Reservation and Primary Profile will be displayed on the report.  The user can select from a Multi Select LOV, specific Note or Comment types they would like included on the report.

Include Internal Notes. When the Notes checkbox is selected, an additional check box is also displayed that allows the option of including those Notes that have marked as “internal”.  If this checkbox is NOT selected, the Filter information on the report output does not display that “internal” notes are not included.

Sort Order. Room No., Guest Name

Group By. Blank (No Group by), Preference Group, Preference, Arrival Date, AM Housekeeping, PM Housekeeping

Page Break after each Group By. When selected, the report will begin the selected Grouping on a new page.  For example, if selecting to Group by Preference Group, each Preference Group will start a new page.

Report Output

The Source column is available when the Profiles>Source application function is set to Y.
