About Setup Configuration

Many of the powerful and configurable aspects of OPERA that are not contained in area- specific modules appear in the Configuration>Setup module. Over time you can tune and customize the system to suit your most exacting requirements. The specific features available, and whether they are built-in or must be obtained separately, depend on which license codes, and application functions, parameters, settings and user permissions you are using. Setup configurable options include:

User Configuration Setup - Define all the users of the system, give them a user ID, a default password, a cashier number, and define their access rights by assigning them to one or various user groups. In addition, you can disable users from login, set password expiry dates and allow grace logins.

Application Settings - Adapt the OPERA program to your specific needs. Many OPERA functions are dependent on how additional application functions, parameters, and settings are set. Functions and parameters can be either Yes or No. For settings, you can enter the default value that you want to assign to a screen field.

Surveys - Design custom surveys that focus on specific information or concerns targeted towards group events or activities. Create and store a pool of questions with a pre- defined list of possible answers and/or scores. Unlimited survey templates can be created and grouped according to the operational areas of the property, and can be easily accessed from various points in the OPERA application. This menu option is visible when the Application Settings>General>Survey function is set to Y.

Report Setup - Design your own reports by working with the report forms and formats provided within OPERA to create new reports in addition to those that are supplied with OPERA, change or customize existing reports, or remove reports from your database.

Note Types - Set up Note Types that are used in many of the OPERA modules such as Reservations, Profiles, and Business Blocks.

Locator Configuration - Create the (optional) standard texts that are offered whenever a user needs to record the specific whereabouts of a guest (a guest locator). This menu option is visible when the Application Settings>Front Desk>Locators function is set to Y.

Message Formats - Define standard message texts within OPERA.

Definable Managers Report - Produce a manager report broken down by user-defined property segments. Here you determine the conditions and with that the segments for which the manager report is generated.

End of Day Sequence - Configure the End of Day Sequence procedures and reports.

IFC Control Setup - Enter information for all third-party interfaces your property uses, or make the changes to the interface files that may become necessary during the normal property operation.

Credit Card Interface - Set up the interface between OPERA and the credit card system used in your property to automate the settlement of credit card transactions. This is also known as electronic funds transfer (EFT). Therefore, the credit card interface is also called EFT Interface.

Workstations - Identify the physical location of each workstation on your OPERA network and enable workstations for users to make direct connections to file and printer resources at OPERA servers. Define a specific printer for each workstation where various printed output (print tasks) from OPERA should be printed.

Printers - Set up or change printer settings and properties if you have full control access permissions. If you want to print a test page, first make sure your printer is on and ready to print.

Data Definition - Research details about the data fields available in the OPERA database views and tables. The information contained in the Data Definition screen can be useful when you are setting up a data extract for a mailing, default field values for screens, or when attaching a user defined LOV group to a UDFC field that will be added by Screen Painting.

Screen Painter - Configure Control Panel, Profile, Reservation, Activities, and Business Block screens to the exact needs of your property. Easily move fields about in the screen, have one field automatically filled in based on the content of another (e.g., if there is a credit card number on the reservation, change the reservation type to “credit card guaranteed”), add fields to the databases and have them display on your screens. Create user-definable lists of values which can be linked to any field in one of the screens.

Business Events - Set up third party vendors who will have the ability to extract data on the Availability, Block, Configuration, Housekeeping, Night Audit, Profile, Rate, and Reservation modules. An external system or third party license code, such as a Central Reservation System, Spa System, or Yield Management system, is required. Once the license codes are activated, subscription of business events can commence. In addition to subscribing to the module/business event/data element combinations, Business Event setup configuration allows for optional customization of subscribed data by using "Where" clauses to further filter business event data. This menu option is visible when the OPP BSEV Business Events add-on license code is activated.

License Codes - Each property installation requires a license code. Without the license code it is impossible to enter the name of the property for the OPERA program. Here you provide the exact name your property, property name, number of rooms, expiry date, product code, and license code number. Certain additional modules to the OPERA program can be purchased separately and require their own license codes.

Virtual Numbers - Only available if the OPP VNS Virtual Number Assignment license code has been activated. Define virtual number pools (for example Telephone, Fax, Modem, Pager and Mobile) and assign the virtual numbers used with each pool. The use of virtual numbers and the available functionality depends entirely on the capabilities and the feature set of the phone system used in the property. This menu option is visible when the OPP VNS Virtual Numbers add-on license code is activated.

Extensions Setup - Configure extension numbers and link the extension number to the extension type allowing OPERA to display the multi-property Extensions Search screen. This menu option is available when the Application Settings>General>Extensions function is set to Y. Ultimately this will allow the selection of an extension number when checking a guest into a room with a single entry door, but provide multiple phone extensions.

External Databases - Configure external database in ORS so that the OXI HUB can communicate between ORS and PMS systems. Once the external database is configured, you can send profile subscriptions and business events between systems.

IATA Load - When the Application Settings>General>IATA Upload function is set to Yes, IATA processing is available allowing a client property to load travel agency names, addresses and phone numbers from a CD into its database’s name table. This menu option is visible when the OPR <version number> license code is activated.
