Description.  Activates ability to configure weekly/monthly Apartment Style rates and invoice guests in advance on a weekly/monthly periodic basis.

Property Determination.

Activation / Inactivation Rules. 

The Apartment Style Billing application function cannot be activated via Reservation Dashboard (Layout 3)>Go to Administration link>Opera Support link>Setup>Application Settings when the OPZ_<version number> Operetta Hardware and Software license is active.

 

When an active ASB Rate Code exists in Opera, then the Rates>Apartment Style Billing application function cannot be set to N. If this action is attempted, the user will receive a message prompt to notify them that at least one ASB Rate Codes exists for the property and the application function cannot be turned off.

 

The Apartment Style Billing application function and its functionality will not be available when the Cashiering>Deferred Taxes application parameter is set to Y.

Example of ASB Rate Code Calculations

The following displays how nightly rates are calculated for ASB Rate Codes, rather a new ASB Rate Code is being selected for a new ASB Cycle or an ASB Rate Code is being selected for a new reservation.

Daily Details Screen

When the Rates>Apartment Style Billing application function is set to Y and a new ASB Rate Code is being selected for an existing reservation at the beginning of the ASB Cycle, the rate amount that is populated in the Daily Details Grid is used for the nightly posting. This amount is the share for that cycle night and is calculated by using the formula of Total Amount for the ASB Cycle/Number of Days in the ASB Cycle. On the first day of the ASB Cycle, a lump sum charge is posted and an offsetting transaction will be posted. But during that business days’ night audit, the room charges will be posted as a nightly charge using the share amount.

Rate Amount: $2000.00/ASB Cycle (7 Days)

Reservation Dates: 05/30/2010 – 06/05/2010

Based on the above information, each Nightly Rate for the ASBWEEK Rate Code would be $285.71. This is calculated by taking the total for the ASB Cycle (2000.00) and dividing it by the total number of day in the ASB Cycle (7).

Monthly

Rate Code: ASBMONTH (Floating)

Rate Amount: $10000.00/ASB Cycle (31 Days)

Room Type: SING

Reservation Dates: June 06, 2010 - July 06, 2010

Based on the above information, each Nightly Rate for the ASBMONTH Rate Code would be $322.58. This is calculated by taking the total for the ASB Cycle (10000.00) and dividing it by the total number of day in the ASB Cycle (31).

Rate Query Screen

When the Rates>Apartment Style Billing application function is set to Y and a new ASB Rate Code is being selected for a new reservation, the total average amount for the requested reservation date range, that may span across multiple ASB Cycles, is populated. This amount is calculated by using the formula Total Amount for the ASB Cycle(s)/Number of Nights Requested for the Reservation.

Rate Amount: $2000.00/ASB Cycle (7 Days)

Reservation Dates: 05/30/2010 – 06/05/2010

Based on the above information, each Nightly Rate for the ASBWEEK Rate Code would be $285.71. This is calculated by taking the total amount for the ASB Cycle (2000.00) and multiplying it by the total number of weeks in a year (52) and then dividing that number by 364 days (number of days used for weekly calculations).

Monthly

Rate Code: ASBMONTH

Rate Amount: $10000.00/ASB Monthly Cycle

Room Type: SING

Reservation Dates: June 06, 2010 - July 06, 2010

Based on the above information, each nightly Rate for the ASBMONTH Rate Code would be $328.77. This is calculated by taking the total amount for the ASB Cycle (10000.00) and multiplying it by the total number of months in a year (12) and then dividing that number by the number of days in a year (365).

The amount showing in the rate query screen will be calculated by taking the total amount for the ASB Cycle (10000.00) and multiplying it by the total number of months in a year (12) and then dividing that number by the number of days in a year (365) and then multiplying that number by the number of days in the cycle

Example:

Rate code is 10.000.

Reservation Dates as above

10000 * 12 = 120000

120000 / 365 = 328.76

328.76 * 30 = 9863.01 <- this would be the amount showing in the rate query if the prorated box is checked

ASB Rate Code Reservations with Prorated Rates Extended Functionality

A guest is checked in for their 2 night reservation using a Weekly ASB Rate Code for a rate that is Prorated. After the second nights End of Day procedure has been run, the reservation is extended. For this scenario, since the guest has been charged for 2 nights at the time of check in, the nightly postings for the first 2 nights will display in the ASB Billing Window. The additional charges that are resulting from the reservation extension will then be posted directly to the guests Billing Window and not to the ASB Billing Window.

Note: The Balance in the ASB Billing Window can never be more than zero.
