Generic Information for Group Reservations from Marsha

This topic contains the following Mandatory information for Group download:

• The creation of blocks is done manually in CRS and PMS.
• A Mini-hotel has to be created in MARSHA first.
• The Mini-hotel ‘header’ is finished first.
• Nothing is sent into PMS at this stage.
• In PMS, a block header must be created with exactly the same block code as the Mini-hotel code.
• The market code (rate code) can be setup as required and will be cross-referenced in the new OXI conversion table for rate codes/block codes.
• All other details such as dates, room types, number of rooms must match as well.
• It is possible for Marsha to send rooming lists or multi-room reservations from block.
• If a reservation is sent to PMS, the matching criteria to find the correct Block are:  the block code, the rate code and date span of reservation. If not found, the reservation will be picked up from house inventory.

• (C) means convention, conference and can be booked by anybody. (H) means housing indicator and can only be booked directly through property. (E) stands for extending.
• Group contact information (equivalent to our group profile)

The CMP mini hotel:

Complimentary reservations must be made from a mini hotel code ‘CMP’ in CRS. This is the hard-coded standard code for all complimentary reservations in MARSHA. In PMS we do not need to create a block for this, as OXI will recognize all bookings made with a particular rate code as complimentary reservations. The booking will be inserted without the block code after going through the rate/block code conversion table.

Impact on Inventory and Inventory Update:

When a group reservation from MARSHA is downloaded, the block existence is checked first in the PMS. The table ALLOTMENT_DETAIL holds the allotted and picked up rooms for each block and its allotted room types. OXI checks here for the block, room type, and dates requested.  If a room is available for all the days requested, the record is written in the PMS tables and the availability is updated. If no rooms are available in the block, the reservation is forced in and a warning will be generated.

Note: A reservation is always accepted even if house or room type inventory is not overbooked. In case of an overbooking, OXI make the reservation for that room type and will issue a warning message.
