Printing the Freight Charges Report (PFRC)

Purpose: Use the detail and summary freight charges reports to compare the amounts that you paid to shippers for package shipments vs. the freight charges collected for orders, broken out by ship via.

Detail vs. summary report: The detail version of this report lists the charges broken out by invoice and order number, while the summary version provides totals for each ship via, and also includes the total number of packages for each ship via and the average package cost.

Selection options: You can generate the reports for a particular division or ship via, or include all divisions and ship vias.

Returns are not included in the reports, regardless of whether they produce a freight refund.

Related system control values: The Consolidated Invoice (B49) and Prorate Freight Charges (D39) system control values affect how the system bills freight charges and creates invoices for shipments that occur on the same day for the same order. See those system control values and the descriptions of the Collected and Billed fields on the Freight Charges Summary Report and the Freight Charges Detail Report for more information.

Note:

• Any packages shipped outside of the manifest station (such as through manual confirmation) are not included on the reports.

• If you use Best Way shipping at the manifest station, the ship via on the order header might be different from the ship via on the report that includes the shipment. For example, the order header might show ship via 1 (UPS), but the manifest might determine that ship via 3 (FedEx Ground) costs less, so it sends the package that way. In this situation, the Freight Charges Detail Report lists ship via 3, and the shipment totals are included for ship via 3 on the Freight Charges Summary Report.

How to display this screen: Enter PFRC in the Fast path field at the top of any menu, or select Print Freight Charges Report from a menu.

Field

Description

Start date

The first shipment date to include on the report. The start date must be on or earlier than the current date and the end date.

Numeric, 6 positions (MMDDYY format); required.

End date

The last shipment date to include on the report. The end date must be on or later than the current date and no earlier than the start date.

Numeric, 6 positions (MMDDYY format); required.

Division

Optionally, use this field to indicate a particular division to include on the report. If you select a division, only orders whose source codes point to this division are included. If you leave this field blank, orders are included on the report regardless of the division associated with the source code.

Division codes are defined in and validated against the Division table. See Working with Divisions (WDIV) for more information.

Alphanumeric, 2 positions; optional.

Ship Via

Optionally, use this field to indicate a particular ship via to include on the report. If you select a ship via, only shipments for that ship via are included. If you leave this field blank, shipments for all ship vias are included on the report.

Ship via codes are defined in and validated against the Ship Via table. See Working with Ship Via Codes (WVIA) for more information.

Numeric, 2 positions; optional.

Details

Indicates which version of the freight charges report to print:

Selected = Print the Freight Charges Detail Report

Unselected = Print the Freight Charges Summary Report

To generate both reports, complete this screen once with this field selected and then again with this field unselected.

Completing this screen:

1. Indicate the date range to include on the report by completing the Start date and End date fields.

2. Optionally, indicate a Division and/or Ship via to include.

3. Optionally, select the Details flag to print the Freight Charges Detail Report, or leave it unselected to print the Freight Charges Summary Report.

4. Select Print Report.
