18 Using the Employee Organization Chart (Release 9.2 Update)

18.1 Understanding the Organization Chart

Use the Organization Chart program (P05001X) to view information about an employee in an organization chart format. You can view information such as the name and title of the employee, the supervisor and subordinates of the employee, and the organization to which the employee is assigned.

Some of the information that you can view or act upon, such as viewing the employee profile or sending an email to the employee from the organization chart, is controlled by processing options. You set up processing options for the employee organization chart in two programs. You set up processing options in the Employee Information for Organization Chart program (P08714) to identify the source of the data to display in the organization chart. You set up processing options in the Organization Chart program (P05001X) to identify other factors about the organization chart.

18.2 Viewing Employee Information in the Organization Chart

This section discusses how to:

  • Set processing options for Employee Information for Organization Chart (P08714).

  • Set processing options for Organization Chart (P05001X).

  • Locate an employee in the organization chart.

  • View employee information in the organization chart.

18.2.1 Form Used to Locate and View Employee Information

18.2.2 Setting Processing Options for Employee Information for Organization Chart (P08714)

You access the processing options for the Employee Information for Organization Chart from Interactive Versions. The program does not appear on any menu.

18.2.2.1 Display

1. Work Phone Number Type

Use this processing option to specify a value from UDC 01/PH to identify the address book phone type for a work phone number. The system uses this processing option to obtain the employee's work phone number.

Because Blank is a valid value in UDC 01/PH, if you leave this processing option blank, the system will look for the value Blank in UDC 01/PH and will retrieve the value for the address book record that is associated with the Blank type. If no phone number exists for the employee in the Blank type, then the organization chart will not display a work phone number.

2. Mobile Phone Number Type

Use this processing option to specify a value from UDC 01/PH to identify the address book phone type for a mobile phone number. The system uses this processing option to obtain the employee's mobile phone number.

Because Blank is a valid value in UDC 01/PH, if you leave this processing option blank, the system will look for the value Blank in UDC 01/PH and will retrieve the value for the address book record that is associated with the Blank type. If no phone number exists for the employee in the Blank type, then the organization chart will not display a mobile phone number.

3. Email Address Type

Use this processing option to specify a value from UDC 01/ET to identify the electronic address type for email addresses. The system uses this processing option to obtain the employee's email address.

Because Blank is a valid value in UDC 01/ET, if you leave this processing option blank, the system will look for the value Blank in UDC 01/ET and will retrieve the value for the address book record that is associated with the Blank type. If no email address exists for the employee in the Blank type, then the organization chart will not display an email address.

4. Employee Work Location Related Address Number

Use this processing option to specify the Address Book Related Address Number that you are using to store employee work location information. If you leave this processing option blank, the organization chart displays the address of the Home company.

5. Display Terminated Employees

Use this processing option to specify whether to include terminated employees in the organization chart. If you enter 1 to display terminated employees, the system displays the terminated subordinates of the employee you selected to display in the organization chart. If you leave this processing option blank, terminated employees are not included in the organization chart.

6. Termination Date

Use this processing option to specify the date that an employee was terminated. The system uses this date to determine which terminated employees to display based on termination date. The system uses the date in this processing option only when you enter 1 in the display Terminated Employees processing option.

18.2.3 Setting Processing Options for Employee Organization Chart (P05001X)

Processing options enable you to specify default processing values.

18.2.3.1 Display

1. Display Employee's Address Book Number

Use this processing option to specify whether to display employee Address Book numbers in the organization chart.

2 Allow Access to Employee Profile

Use this processing option to specify whether users can view the employee profile from the organization chart.

3. Allow Users to Send Email

Use this processing option to specify whether users can send email messages from the organization chart.

4. Display Employee Pictures

Use this processing option to specify whether to display employee pictures in the organization chart. The system uses the employee picture associated with the address book record and that is specified as the default image. If you leave this processing option blank, employee pictures are not displayed.

18.2.3.2 Versions

1. Employee Information for Organization Chart Version (P08714)

Use this processing option to specify the Employee Information for Organization Chart program (P08714) version used by the Employee Organization Chart program. If you leave this processing option blank, the system uses the default version (ZJDE0001).

2. Employee Profile Version (P060116)

Use this processing option to specify the Employee Profile (P060116) version. The system uses the value in this processing option to determine which version of the Employee Profile and Job Information form the system launches when you click the employee name in the organization chart.

The system uses the value in this processing option only when the Allow Access to Employee Profile processing option is set to enable viewing of the employee profile. If you leave this processing option blank, the system uses the default version (ZJDE0001).

18.2.4 Locating Employees in the Organization Chart

You can locate the employee whose information you want to view in several ways:

  • If you know the employee's address book number, enter the number in the Address Number field, and then click Refresh.

  • If you know all or part of the employee's mailing name:

    1. Enter all or part of the name in the Mailing Name field.

    2. Click Go.

      The system searches for the name in the Mailing Name field in the Address Book - Who's Who table (F0111).

    3. Click the Choose One list.

    4. Select the employee name from the list.

      When you select a name from the list, the program populates the Address Book field with the employee's address book number. Click the Refresh button to display the employee's information in the organization chart.

      The Mailing Name field is case-sensitive. For example, if the address book record includes the string Tom, you must enter Tom and not tom or TOM. Also, the Address Number field must be blank when you use the Mailing Name field to locate an employee or the program does not return any results.

  • Click the Search icon next to the Address Number field to display the Employee Search & Select form.

    Complete the Address Number or Supervisor field with the address book number of the employee or supervisor. Or, you can use the Alpha Name field to enter a string of characters to search for the employee by name. The Alpha Name field is case-sensitive. The system searches the Employee Master Information table (F06116) for a match.

    When you select a record, the program returns you to the Employee Organization Chart form. Click the Refresh button to display the information about the employee you selected.

18.2.5 Viewing Employee Information

When you select the employee whose information you want to view, the system displays a card with the employee name and job title. If you set up the processing options in the Organization Chart program to display them, the cards will also include the address book number and employee picture.

Note:

Terminated employees appear in the organization chart only if you enter 1 in the Display Terminated Employees processing option in the Employee Information for Organization Chart program. The names of terminated employees are highlighted in light red.

The following list describes the actions that you can perform and the information that you can view in the employee hierarchy:

  • Scroll through the contact, address, and organization views.

    Use the arrows on either side of the card to scroll through views. The contact view lists the employee's phone numbers and email address. The location view lists the employee's work address. The organization view lists the company and business unit, and the job type and step for the employee.

  • View supervisor and subordinate information.

    Click the Expand (plus sign) and Collapse (minus sign) icons to view supervisor and subordinate information.

  • Change the layout and view.

    The control panel enables you to zoom in or zoom out, select a layout format, and have all cards in the organization chart show the contact, address, or organization view of all employees displayed in the organization chart.

  • Display employee card in separate window.

    Hover your cursor over an employee card to view the card in a pop-up window. You can use this feature to more easily view employee details when the screen resolution or the number of cards in the chart makes the details difficult to view.

  • View employee profile.

    If the Allow Access to Employee Profile processing option in the Employee Organization Chart program is enabled, you can click the employee name to view the Employee Profile and Job Information form in the Employee Profile program (P061116).

  • Send email.

    If the Allow Users to Send Email processing option in the Employee Organization Chart program is enabled, you can click the employee's email address to send an email to the employee.

18.3 Using the Organization Chart in a CafeOne Layout

The Organization Chart program is an ADF application. When you use an ADF application in a CafeOne layout, you must set up the parameters that the calling EnterpriseOne application in the layout uses to interact with the ADF application.

This list describes the parameters available for the Organization Chart program:

  • Address Number

  • Mailing Name

If you select a value for any parameter, the left pane of the Employee Organization chart is collapsed when you access the layout. You can expand the pane and change the value in the search fields.

For each of the parameters, you can select the is mapped to operation and select a value from the calling EnterpriseOne application. Or, you can select remains as if you do not want to specify a value.

The following image shows the Edit mode of a CafeOne layout that includes the Organization chart, with the Address Book Master program (P01012) as the connected EnterpriseOne application. In the image, the Address Number and Mailing Name parameters are specified.
