View and Edit Folder Permissions


After completing this topic, you will be able to view and edit folder permissions.


Steps:

  1. Note: You must be logged on as an Administrator to use this feature.

    Step 1
  2. We have opened JWong's profile.

     

    This author is a member of the Sales Team group, which is assigned Read permission for the Styles folder. With only Read permission, the author cannot modify publishing styles.

  3. We have switched to the administrator's profile. We are going to use Folder Permissions to give JWong Modify permission to the Styles folder.

  4. Before viewing the permissions for the Styles folder, we are going to view the permissions assigned to the Sales Team and HR Team groups.

  5. Members of the Sales Team have Read permission for the Styles folder.

  6. Members of the HR Team have Read permission for the System folder.

     

    Because subfolders inherit the permission of their parent, group members have Read permission for the Styles folder through inheritance.

  7. Select the folder whose permissions you want to edit.

     

    Click the Styles folder.

  8. View the folder permissions for the Styles folder.

     

    Click the Administration menu.

  9. Click the Folder Permissions command.

  10. The Assigned Permissions tab displays the permissions that were explicitly assigned to an author or group. You can add new author or group permissions or remove any permission that appears. Your changes on this tab are also reflected when you review group or author permissions using the Manage Authors or Manage Groups commands.

     

    In this example, the specific assignments for the Styles folder are: ADecarlo was assigned Modify permission, and the Sales Team was assigned Read permission.

  11. View the effective permissions for this folder.

     

    Click the Effective Permissions tab.

  12. The Effective Permissions tab displays the permissions that are in effect from explicit author assignment and group membership, as well as any permissions inherited from a parent folder.

  13. For example, the HR Team is assigned Read permissions to the System folder. Due to inheritance from the parent folder, group members have Read permission for the Styles folder.

  14. Members of Sales Team also have Read permission to the Styles folder, which was directly assigned through the group.

  15. Click the Assigned Permissions tab.

  16. You can add an author or group to the folder. Add the author JWong to the folder.

     

    Click the Add author button.

  19. JWong is a member of the Sales Team, and inherits Read permission for the Styles folder. Assign JWong  Modify permission for this folder.

     

    Click the Permission list button.

  21. Click the OK button to close the Folder Permissions dialog box.

  22. We will switch to the JWong profile.

  23. JWong is assigned Modify permission to the Styles folder, overriding his group Read permission for that folder and its subfolders.
