Creating Master and Sub Allocations
Master and Sub-Allocation Business Blocks give you control over the number of rooms protected for wholesale reservations by holding the inventory on the Master Allocation and allowing the Sub-Allocations to reserve and pick up against that inventory.
- The Master Allocation holds inventory that the property wants to protect.
- The Sub Allocation takes rooms from the Master Allocation for individuals to reserve.
EXAMPLE: Based on experience, a property determines that it needs to set aside 50 rooms a night for tour groups. The property creates a Master Allocation and sets aside 50 rooms a night. When a tour company requests 20 rooms for a tour stay, the property creates a Sub Allocation and takes 20 of the 50 rooms held in the Master Allocation. When a second tour company requests rooms, the property creates another Sub Allocation and takes the number of rooms needed. The property can create additional Sub Allocations until the Master Allocation inventory is empty (note conditions in the Master / Sub Allocation Rules below).
Master / Sub Allocation Rules:
- The Elastic flag on a Master Allocation allows it to borrow room inventory from the House.
- The Elastic flag on a Sub Allocation allows it to borrow room inventory from the Master Allocation (Sub Allocations cannot borrow inventory from each other).
- If the Master Allocation is set to a Definite inventory status, all Sub Allocations must also be in a Definite inventory status.
- If the Master Allocation is set to a Tentative inventory status, the Sub Allocations can be set to either Tentative or Definite inventory status.
- You can apply Sell limits to the Master Allocation or Sub Allocation. In the case of a Master Allocation, the Sell Limit indicates the maximum number of rooms that can be part of the Master Allocation. For Sub Allocation, the Sell Limit indicates the maximum number of reservations that can be made on the Sub Allocation.
- Shoulder Dates on a Sub Allocation must fall within the Master Allocation dates. Reservations against a Sub Allocation can extend until the Shoulder Dates on the Sub Allocation.
- Washing (reducing) rooms on a Sub Allocation returns the rooms to the Master Allocation. Washing the Master Allocation returns the inventory to house availability.
How Do I . . .
Create a Master Allocation
To create a Master Allocation, from the application, select Manage Blocks to open the main Search page.
- Select I Want to… Create a New Block to open the Create Block train.
- On the Associated Profiles stop of the Create Block train, enter a Property Name, then select Master Allocation in the Mode field.
- Enter a profile name. If no profile exists, the profile search screen appears.
- Select I Want To…Create a New Profile and complete the required profile information fields.
- On the Block Details stop, enter the start and end dates of the room allocations. Enter a Block Name, Market, and Source.
- Select Add to search and assign a rate code to the allocated rooms.
- On the Block Status stop, select a status. The status reflects the current state of the block; for example, a Definite status allows pickup (i.e., ready for reservation); a Lost status returns rooms to inventory.
- On the Room Details stop, specify cutoff dates/days for reserving rooms. You can enter reservation methods, rooming list due dates, a decision date, and a follow-up date.
Create a Sub Allocation
The Create Block train guides you through the creation of a Sub Allocation. You must create a Master Allocation before creating a Sub Allocation.
- On a Master Allocation, select More Actions, then select I Want To…Create Sub Allocation.
- On the Associated Profiles stop of the Create Block train, enter the profile name.
- On the Block Details stop, enter the start and end dates of the room allocations. Enter a Block Name, Market, and Source.
- Select Add to search and assign a rate code to the allocated rooms.
- On the Block Status stop, select a status. The status reflects the current state of the block; for example, a Definite status allows pickup (i.e., ready for reservation); a Lost status returns rooms to inventory.
