Creating Master Blocks / Sub Blocks
The Master Block / Sub Block function provides the ability to manage multiple blocks for an event or a group within a single property or across multiple properties.
Master Blocks
A Master Block serves as the top level record for an event or group. It stores and manages a collection of Sub Blocks that provide room inventories in different properties or in the same property. The Master Block provides the following:
- A structure for linking Sub Blocks across multiple properties or within the same property.
- Default information for the Sub Blocks including group profile, market code, and source code.
- A synchronization option for managing information on all Sub Blocks automatically when the Master Block is updated. Synchronization manages Block Details, Room Details, Catering Details, and Block Status.
Sub Blocks
A Sub Block is a block that holds room inventory at a property. You can create multiple Sub Blocks for an event. If multiple properties participate in an event, you must create a Sub Block for each property. The Sub Block provides the following:
- Room inventory for the event or group.
- A start date, end date, and number of nights available under the Sub Block (dates can differ from the Master Block, but must fall within the Master Block's date range).
How Do I...
Create a Master Block
Use the Block train to create a Master Block. You can access the train by selecting Manage Blocks, then selecting I Want To... Create a New Block. Although you can create a profile while in the first stop of the train, it is recommended that you create the profile (using Manage Profiles) prior to starting Master Block creation.
- In the Mode field of the Associated Profiles stop select Master Block and then enter the Profile name.
- On the Block Details stop, enter the start and end dates of the Master Block. Enter a Block Name, Market, and Source.
- Select Add to search and assign a rate code to the allocated rooms.
- On the Block Status stop, select a status. The status reflects the current state of the block; for example, a Definite status might allow pickup (i.e., ready for reservation); a Lost status might return rooms to inventory.
- On the Room Details stop, specify cutoff dates/days for reserving rooms. You can enter reservation methods, rooming list due dates, a decision date, and a follow-up date.
After creating the Master Block, the system creates a Sub Block automatically. When the Auto Assign Sub Block Code parameter is active, the block code is generated automatically.
When the Auto Assign Sub Block parameter is not active, the user is required to enter a block code for the sub block in order to create the Master and Sub Blocks.
Create a Sub Block
When you create a Master Block, the system automatically creates a Sub Block. You can create additional Sub Blocks for the Master Block using the following procedure:
- Use Manage Blocks to search for and open the Master Block.
- From the I Want To... menu, select More Actions, then select Create Sub Block.
- Enter the Property name and a Block Name (the Block Code field auto fills when the Auto Assign Sub Block Code parameter is active).
- Select Save and go to Presentation.
Synchronize Master Block / Sub Blocks
When creating a Master Block, you can synchronize the Master Block to its Sub Blocks.
- Place a check in the Synchronize check box on the Associated Profiles stop of the Create Block train.
- The check box appears after you select Master Block in the Mode field.
- Synchronization automatically updates the following information on all Sub Blocks: Block Details, Room Details, Catering Details, and Block Status.
