Share Dialog Box

You can use the Share dialog box to determine an object's access control list (ACL), or which users or user groups have access to the object or folder of objects, and what level of access they have. For example, you can allow a user to view and run a report, or give a user full control to assign permissions for a control point. You can select an existing permission level, such as Full Control, or choose specific permissions to assign to a user or user group. When you share a link, it is copied to the recipient's My Subscriptions page.

Sharing Options

These icons at the top of the Share dialog box let you share links to the object:

Email link - Opens a new e-mail message containing the URL of the object. You can enter text in the message, enter one or more recipients, and send the message.

 

To Email a link to an object:

  1. You can email a link from the folder location of an object, or when a report, document, or quick dashboard is executed. Do one of the following:

This displays the Share dialog box.

  1. Click Email Link . Your email editor opens. The subject line of the email is "Link to:", followed by the name of the object. The message contains the same text, followed by the actual link in the next line.

  2. Enter  the recipient. Add to or change the subject line and message, if desired.

  3. Click Send to send the message and return to the Share dialog box.

  4. Click Close to close the Share dialog box and return to the folder.

Show link - Click to display the URL of the object in the Share dialog box. You can select the link and press Ctrl + c from the keyboard to copy the link to the Clipboard. You can then paste the link in another location.

 

To display and copy the URL:

  1. You can obtain the URL from the folder location of an object, or when a report, document, or quick dashboard is executed. Do one of the following:

This displays the Share dialog box..

  1. Click Show Link . The URL of the object is displayed below the Sharing Options. Highlight the URL, then press CTRL + C to copy the link to the clipboard.
  2. Click Close to close the Share dialog box and return to the folder.

To add the URL to a text field or image:

  1. Open the document in which you want to create the link in Design or Editable Mode
  2. To use a text field for the hyperlink, complete the following steps:

a.     From the Insert menu, select Text.

b.     Click in the section of the document where you want to place the text field. If you click and drag in the section, you can size the text field.

c.     Type the text to be displayed to users into the text field.

  1. To use an image for the hyperlink, complete the following steps:

a.     From the Insert menu, select Image.

b.     Click in the section of the document where you want to place the image. If you click and drag in the section, you can size the image. The Properties and Formatting dialog box opens.

c.     Type the address of the image file to insert in the Source field.

d.     Click OK. The image appears in the document.

  1. Right-click the image or text field and select Properties and Formatting. The Properties and Formatting dialog box opens.
  2. From the left, select General.
  3. Select the Is Hyperlink check box.
  4. Press CTRL + V to paste the URL in the Hyperlink field.
  5. Click OK. The link is added to the document.

 

- Show HTML - Click to show the HTML code behind the URL link in the Share dialog box. You can modify the HTML code if you want to change the way the object is displayed when a user clicks on the link.  For example, changing the dimensions of the frame in which the object is displayed. You can copy the HTML code in this field to the Clipboard by  pressing Ctrl + c.

 

To show HTML code containing the link URL:

  1. You can generate HTML code from the folder location of an object, or when a report, document, or quick dashboard is executed. Do one of the following:

·         Navigate to the folder location of the object. Right-click the object, and select Share.

·         From an open report, document, or quick dashboard, click the Share icon Share iconon the Home toolbar.

The Share dialog box opens.

  1. Click Show HTML. The HTML is displayed below the Sharing Options.

  2. To specify options such as the height and width of the iFrame in which you want to display the object, perform the following steps:

  1. For each section of the report, document, or quick dashboard that you want to display or hide, do one of the following:

  1. The HTML code for the iFrame is displayed in the field. Highlight the code, then press CTRL + C to copy the link to the clipboard.

  2. Click Close to close the Share dialog box.

Modifying Permissions for Folders

There are additional options for modifying permissions for a folder. These are found in the drop-down menu in the Children Access section. You can select either of the following options sharing permissions on a folder:

Preserve children's access control lists - The permission you specify will be applied to the selected folder and all objects created in the folder in the future. These changes are not applied to objects that were already in the folder  before you made changes to the permissions.

Overwrite children's access control lists - The permission you specify will be applied to all objects all objects created in the folder in the future and will replace existing permissions of all objects currently in the folder.

Overwrite Access Control Lists Recursively - The permission you specify will replace the existing permissions of all objects currently in the folder and its subfolders and all objects created in the folder and its subfolders in the future.

Assigning, Modifying and Deleting Permissions

Prerequisites

To assign permissions to a user or user group:

  1. Navigate to an object or a folder of objects.

  2. Right-click the object or folder, and select Share. This displays the Share dialog box.

Note: If you run a report, you can access the Share dialog box by clicking on the Share icon in the report's Home toolbar, or by choosing Share from the Home menu.

  1. Under Who has access, select the user groups or users to whom you want to give access to the object and assign permissions.

  1. Click OK to save your changes.

To modify the permissions assigned to a user or user group

  1. Navigate to the object or folder of objects..

  2. Right-click the object or folder, and select Share. The Share dialog box is displayed. A list of users and user groups with permissions for the object is displayed under Who has access.

  3. Select the user or group whose permissions you want to change.

  4. From the permissions drop-down list, select the permission level you want to assign to the user or user group.  If you want to assign a  custom set of permissions, select Custom. The Custom Permissions Level dialog box opens. Select the permissions you want to assign, then click OK.

    If you specify a custom permission level, the permissions you selected are automatically displayed in the Choose a permission level drop-down list. For example, if you select the Browse, Read, and Write permissions, B, R, W is displayed in the drop-down list.

  5. Click OK to save your changes. If you modified the permissions for a folder, your changes will be applied to any objects currently in the folder and its  subfolders and any objects added to this folder and its subfolders in the future.

To assign or modify permissions on objects currently in a folder:

If you assigned or modified permissions on a folder of objects and you would like the changes applied to objects currently in the folder, select from among the following options:

Apply changes in permissions to all children objects -  Select to apply your changes will be applied to the folder, all objects in the folder, and all objects created in the folder in the future.

Overwrite Children's access lists - Select to replace all existing permissions on children objects with the modified permissions, not simply add or remove the changed permissions.

Recursively - Select to apply your selections to all objects in all subfolders.

 

To delete the permissions assigned to a user or user group

  1. Navigate to the object or folder of objects.

  2. Right-click the object or folder, and click Share. The Share dialog box is displayed, with a list of users and user groups with permissions for the objects listed under User/User Group.

  3. Click the Delete icon next to the user or user group whose permissions you want to delete. The user or user group is deleted from the object or folder permissions list.

  4. Click OK to save your changes.

Permissions Table

The table below lists the permission levels you can assign to a user or user group, and a description of each permission level. These permissions are available for all objects.

Permission Level

View

Browse, Read, Use, Execute

Grants permission to view the object.

Modify

Browse, Read, Use, Execute, Write, Delete

Grants permission to both view and modify the object.

Full Control

Browse, Read, Use, Execute, Write, Delete, Control

Grants all permissions for the object, including the ability to view, modify, and delete the object. Users can also grant permissions for the object to other users.

Denied All

All permissions are denied

Explicitly denies all permissions for the object. The users cannot browse to, view, or modify the object.

Note
: This permission overrides any permissions users may inherit from any other sources.

B,R,W,C,U,E Custom combination of permissions Hover over the letters to see what custom permissions have been selected, e.g., Browse Granted, Read Granted, Write Granted, Delete Default, Control Granted, Use Granted, Execute Granted.

Custom

Displays Custom Permission Level dialog box

Lets you select a custom combination of permissions for the object.
