Saving a personal view of a report or document

A personal view allows you to save your own custom view of a report or document. The personal view includes every change that you made to the report or document since you opened it, including:

A complete copy of the report or document is not saved. Using personal views allows different users to display their preferred data, while still having access to all the available data.

For example, a different selector item can be selected for each user when he opens a document. A document displays sales data by region. A selector allows a user to choose which region to display. For the Northeast's regional sales manager, the selector is set to Northeast, so that only Northeast data is displayed in the document. For the Southeast's regional sales manager, the selector is set to Southeast, so that only Southeast data is displayed in the document. Both managers can change the selector to display all regions or a different region. But by default, when they open their personal view of the document, the data relevant to them is displayed. As another example, you can use personal views to save prompt answers so that you do not have to answer the prompts when you re-run a report or document.

 

To create a personal view:

  1. Click the name of the report or document to run it.

  2. Personalize the report or document, including answering prompts, choosing items in selectors, pivoting, and so on.

  3. Select Create Personal View from the Home menu. This displays the Create Personal View dialog.

  4. Enter the Name of the personal view.

  5. Click OK. Your personal view subscription is saved, and you are returned to the report or document. A message is displayed at the top of the report or document, confirming that the personal view is saved.

    To view your personal view subscriptions, click the subscription link in the confirmation message. The Subscriptions page is displayed, with a list of the reports and documents to which you are subscribed. Your personal view is displayed in the Personal View Subscriptions area.

To run a personal view:

  1. From the Auto Delivery menu,  select Subscriptions. The Subscriptions page opens and displays a list of your subscriptions and personal views.

  2. In the Personal View Subscriptions area, click the name of the personal view to run it.

To edit a personal view:

  1. From the Auto Delivery menu,  select Subscriptions. The Subscriptions page opens and displays a list of your subscriptions and personal views.

  2. To delete a personal view, select the check box in the Unsubscribe column and then click Unsubscribe.
