Add a Portfolio Refresh Task to a Task Step

If a change that is made to a project affects a portfolio, the change won't be reflected in the portfolio until the portfolio is refreshed. Portfolio refresh tasks enable you to specify when exactly a portfolio is updated with the most current information.

You should consider adding a portfolio refresh task after any step or series of steps that makes changes to a project record in such a way that they may affect a portfolio record.

For example, say you have a portfolio that is set to include all projects with a certain status. If you have a workflow task that changes the status of a project that was once included in a portfolio so it is now excluded from the portfolio, then you should consider following it with a portfolio refresh task. Similarly, if you have a workflow task that changes the status of a project that was once excluded from a portfolio so it is now included in a portfolio, then you should consider following it with a portfolio refresh task.

To add a portfolio refresh task:

  1. In the object selector, select a workspace.
  2. In the sidebar, hover over Workflows and Forms, and select Workflow Design.
  3. On the Workflow Design page, select a workflow design.
  4. In the Workflow Design Editor, select a task step.

    This step should follow a step or series of steps that makes changes to any project in the portfolio records that you want the portfolio refresh task to refresh.

  5. In the Step area, select Add , and then select Portfolio Refresh Task.
  6. In the Portfolio Refresh Task Details dialog box, enter a Name and Description for the task.
  7. Select OK.
  8. Select Save.

When you are done with the workflow design, you can specify other aspects of the portfolio refresh task, such as which portfolios it will refresh, on the Workflow Configuration page.
