Assign a Portfolio Fund to a Project

After you have added your portfolio-level funds and defined their allocation rules, you can assign them to projects during the budget planning process.

Fund cannot be assigned from the Selection Analysis page.

To assign a portfolio fund to a project:

  1. In the object selector, select a portfolio.
  2. In the sidebar, hover over Cost and Funds, and select Budget Planning.
  3. On the Budget Planning page, select a scenario from Scenario.

    If the scenario is associated with a portfolio that has funds, the Funds View is visible on this page.

  4. From Layout, select Funds.
  5. In the table, highlight the row that represents the project to which you want to assign the fund.

    The Fund Availability detail window shows you which funds are available.

  6. By the project row, select Context and then select Assign Fund.
  7. In the Assign Funds dialog box, select a fund, and then select OK.

    Only funds that are eligible for use on the highlighted project are available here.

    In the Funds View, notice that the project row is accompanied by a row for the fund. This new fund row represents the fund's use in that project.

  8. In the fund row, in the Total Cost column, enter a Proposed Fund value.

    This value represents how much of the total fund will be available across the project's lifecycle. You can compare it against the Variance value at the project level to see how much more money is required to fund the given project.

  9. For each time period column, enter a Proposed Fund value.
  10. In the Fund Availability detail window, select one of the following tabs:
    • Fund Availability Grid: Displays cumulative data for all funds in the portfolio.
    • Surplus/Deficit Chart: Displays a graphical representation of the surplus and deficit values for each fund for each time period.
    • Stacked Histogram: Displays totals for each fund. Totals for each project for each time period are stacked vertically.

    Select Show only Highlighted Funds to display funds that are highlighted in the top table.

    Select Settings to update data displays on the Fund Availability tabs, including stacked histogram chart settings.

The values you enter on this page are reflected in the totals shown in the Fund Availability detail window. You can try different combinations of fund assignments and select or deselect projects to make sure you are getting the most from your funds.

Select Check Funds Validity to see if there are any allocation rules or irregularities that make funds unavailable for allocation in the portfolio.

When the scenario is approved, the fund assignments and their proposed values are allocated to their respective projects. You can see the proposed fund values in the Total column in project fund sheet.
