Schedule a Report

You can schedule workspace, project, program, or portfolio reports to run at a designated date and time.

To schedule a report:

  1. In the object selector, select a workspace, project, portfolio, or program.
  2. In the sidebar, hover over Reports, and select Report List.
  3. In the table, select a report, select the Schedule detail window, and then select Add Schedule.
  4. In the Add Schedule dialog box:
    1. On the Options tab:
      1. In the Schedule Name field, enter a name.
      2. In the Layout field, select a layout for the report.

        Note: The Layout field is not available if your Primavera Cloud environment is not configured for BI Publisher-based layouts.

      3. In the Output Format list, select an output format.
      4. In the Orientation field, select a page orientation.

        Note: The Orientation field is disabled if you have selected a BI Publisher-based layout for the report.

      5. From the Delivery Type list, select how you would like the report to be delivered.

        Note: If you select Email from the Delivery Type list, you must select Email and enter an email address or user group in the To field. You can also enter CC and BCC addresses, the Subject line for the email, and text for the body of the email. Emailed reports are restricted to 15 MB. If a report exceeds the size limit, an email is sent with instructions to download the report from the application.

      6. (Optional) In the History section, complete one the following fields:
        1. Specify a date: Select this option, and use the date picker to select today or a date in the past to run the report against.
        2. Specify a time interval: Select this option to select a time relative to the current time to run the report against.

          Note: The History section is available only if you select Run report using historical data check box in the Report Editor.

      7. (Optional) Select Include Child Workspaces to include data from child workspaces.
    2. On the Schedule tab:
      1. In the Run Report list, select the frequency to run the report.
      2. In the Day field, select the days you want the report to run.
      3. In the Run Time field, select the time you want the report to run.
      4. In the Schedule Period End field, select when you want the report schedule to end.
    3. (Optional) On the Filters tab, select filters for your report data.

      Note: The Filter tab is unavailable if a report has no filters or the Display report at run time option is not selected in Report Editor.

  5. Select Add.
  6. Select Save.

    Note: You must have the necessary security privileges in a Report permission set to schedule a report. For scheduling Project reports, you need the Project Report: Edit privilege and the Run and Preview Project Report: Enable privilege. For scheduling Workspace reports, you need the Workspace Report: Edit privilege and the Run and Preview Workspace Report: Enable privilege.
