Create LPN

Purpose: Use the Create LPN option to create a new LPN record.

The Create LPN option:

• does not require you to assign an LPN number; the system automatically assigns the next available number in the License Plate table.

• allows you to update inventory.

• automatically prints an RF LPN Label.

This may be helpful if you have inventory in your warehouse not currently assigned to an LPN, perhaps because you are in the process of converting to an RF system.

LPN creation history: When you create an LPN, the system creates a record in the LPN Creation History table, providing details of the LPN: LPN number, associated PO number (if any), LPN quantity, date and time created, item/SKU, warehouse, location, user ID, and the program that created the LPN.

Updating Inventory for New LPN

When you create a new LPN record, the system gives you the option of updating inventory. The setting of the Upd inv flag on the Create LPN Screen determines whether the system increases inventory for the new LPN record.

• If the Upd inv field is Y, the system performs an adjustment transaction to increase the on-hand quantity in the Item Warehouse and Item Location tables by the quantity indicated.

• If the Upd inv field is N or blank, it is as if you are allocating the quantity from the existing stock in the location you indicate.

Secured features:

• The Upd inv field does not appear on the Create LPN Screen if you do not have authority to the Allow Update of Inventory in RF (A47) secured feature.

• The Allow Access to RF Maintenance (A55) secured feature controls access to this option.

Important: The system does not validate that you have an item quantity in the location that is greater than or equal to the quantity you define for the LPN if you enter Y in the Upd inv flag. This means that you will create a discrepancy between your on-hand quantity and your LPN quantity if you do not make sure that you have a sufficient quantity of the item in the location.

Build LPN: You can also use the Build LPN option to create an LPN record. The Build LPN Screen, however, requires that you assign an LPN number, does not allow you to update inventory, and does not automatically print an LPN label. The Build LPN option may be more helpful if you want to transfer stock out of a primary location to bulk storage, but the LPN had been deleted when you placed the stock in primary.

Note: The system does not allow you to create an LPN in a primary location.

How to display this screen: Select option 1. Create LPN at the RF MAINT 1 Screen and select OK or press Enter; see RF Screen Layout.

Cursor placement: When you first advance to this screen, the system places the cursor in the Loc field.

Creating a LPN

 

1. Complete the Cmp field. The current company defaults, but you can override it.

2. Complete the Warehouse field. The warehouse code defined in the Default Warehouse (A04) system control value defaults, but you can override it.

3. Scan the location barcode on the RF Bin Location Label or manually complete the Loc field. In order to scan the location barcode on the Bin Location label correctly, the cursor must be in the Loc field.

4. Scan the item barcode on the RF Item Label or manually complete the Itm and SKU fields. In order to scan the item barcode on the Item label correctly, the cursor on the screen must be in the Itm field.

5. Enter the quantity of the item/SKU associated with the LPN in the Qty field.

6. Indicate whether you wish to update inventory based on the new LPN in the Upd inv field. See Updating Inventory for New LPN.

7. Select OK or press Enter to validate your entries. Correct any errors and select OK or press Enter again to validate your changes.

8. Select OK or press Enter again to create the new LPN. The system creates the LPN record and advances you to the Rqst Outq Screen.

Company

A code for the company associated with the new LPN.

The current company defaults, but you can override it.

Company codes are defined in and validated against the Company table.

Numeric, 3 positions; required.

Warehouse

Unlabeled field to the left of the Loc field

A code for the warehouse where the new LPN is located.

The warehouse code defined in the Default Warehouse (A04) system control value defaults, but you can override it.

Warehouse codes are defined in and validated against the Warehouse table.

Numeric, 3 positions; required.

Loc

Location

A code for the location where the new LPN is located.

Location codes are defined in and validated against the Location table.

Scanning the Location Barcode on the Bin Location Label

In order to scan the location barcode on the RF Bin Location Label correctly, the cursor must be in the Loc field.

Alphanumeric, 7 positions; required.

Itm

Item

A code for the item associated with the new LPN. You can also use this field to enter the short SKU code assigned to the item/SKU. If the system finds a match to a short SKU code and item code, the short SKU code takes precedence.

Item codes are defined in and validated against the Item table.

Short SKU codes are defined in and validated against the SKU table.

Scanning the Item Barcode on the Item Label

In order to scan the item barcode on the Item label correctly, the cursor on the screen must be in the Itm field.

Alphanumeric, 12 positions; required.

SKU

A code for the SKU for the item associated with the new LPN.

SKU codes are defined in and validated against the SKU table.

Alphanumeric, three 4-position fields; required if the item contains SKUs.

Qty

Quantity

The quantity of the item/SKU associated with the new LPN.

Numeric, 7 positions; required.

Upd inv

Update inventory

Indicates whether to perform an adjustment transaction to increase the on-hand quantity in the Item Warehouse and Item Location tables by the quantity indicated.

Valid values are:

Y = Update inventory.

N = Do not update inventory.

If you do not enter a value in this field, it defaults to N.

Note: If you do not update inventory and there is not an existing quantity of the item in this location greater than or equal to the quantity you enter, you will create a discrepancy between your LPN records and your inventory levels.

Secured Feature

The Upd inv field does not appear on the Create LPN Screen if you do not have authority to the Allow Update of Inventory in RF (A47) secured feature.

Select Exit or press F3.

Clear the information from the screen and restore the defaults

Select Clr or press F8.

Create LPN Errors

Error Message

Cause

From Whs Invalid

The warehouse code you entered is not valid for the current company.

Loc Is Primary

The location you selected is a primary location. You cannot create an LPN in a primary location.

From Loc Invalid

The location code you entered is not valid for the current company and warehouse.

Invalid Item/SKU

You have not entered complete and valid item/SKU information.

Item Not Comp W/Loc

The item's location class is not compatible with the location class assigned to the location.

Quantity is Zero

You have not entered a quantity.

Invalid from Cmpy

The company number you entered is not a valid company on your system, or the company field is blank.

Unauthorized Cmpy

You do not have authority to the company number you entered.

SCV Error - A26 (or other value)

The company whose number you entered has a system control value related to RF with a setting that is incompatible with your current company.

Rqst Outq Screen

Use this screen to print an LPN label for the LPN you have just created on the Create LPN Screen.

How to display this screen: Complete the fields on the Create LPN Screen and select OK or press Enter; see RF Screen Layout.

Printing a New LPN Label

 

1. Enter the printer ID for the printer used to print LPN labels. The printer ID defined for the user in Working with User Label Printers (WULP) defaults, or if not defined, the printer ID defined in the RF LPN Printer ID (J95) system control value defaults, but you can override it. The system validates that the printer ID you enter is a valid printer ID defined in the LabelPrinters Properties File; if the printer ID you enter is not valid, an error message displays: Invalid Printer.

2. Select OK or press Enter to print the LPN label. The system returns you to the create LPN screen and displays the following message: LPN Created.

Printer

The printer ID for the printer used to print LPN labels. The printer ID defined for the user in Working with User Label Printers (WULP) defaults, or if not defined, the printer ID defined in the RF LPN Printer ID (J95) system control value defaults but you can override it. The base printer ID for carton labels is LPN_PTR.

The system validates that the printer ID you enter is a valid printer ID defined in the LabelPrinters Properties File; if the printer ID you enter is not valid, an error message displays: Invalid Printer.

Alphanumeric, 10 positions; required if the Generate labels field is selected.

Exit the screen without printing an LPN label

Select Exit or press F3 to return to the Create LPN Screen. The system displays the following message: LPN Created.

Clear the information from the screen and restore the defaults

Select Clr or press F8.
