Create Subcontracts Manually

Note: If you use an accounting interface with the system, you should not manually create subcontracts.

  1. Navigate to the Create Subcontract Page
  2. In the Contract field, enter the vendor contract number, which will display on the Subcontractor's Payment Application document.
  3. Select the Select Organisation button.

    A Select Organisation dialogue box opens.

    • Begin typing in an organisation name or other details for a list of matching organisations to display in the dialogue box.
    • By default, only organisations which operate in the same currency as your project display. You can only invite Subcontractors to participate on a project if your currency matches.
  4. In the Contract Date field, enter the date the subcontract should begin, or select a date from the calendar dialogue box.
  5. In the Subcontractor Item field, enter text to identify the line item.

    Generally used when an WB is uploaded, this number categorises work in an accounting package.

    Note: If you use an accounting interface with the TPM system, the Item format is dictated by your accounting package.

  6. (Optional) Select additional contract settings.
  7. Select the Save button.

    The contract Work Breakdown will display. It will be empty.

  8. Enter the Subcontractor's Cost Code Breakout
    1. Use the contract Work Breakdown (WB) to create contract components.
    2. Use the Find feature in the Item column to link the subcontract cost code to the Owner WB.
    • Once you choose an Item, the description automatically displays.
    • If you are not using Owner Billing, the subcontract can be linked to a single Owner WB.
    • Generally used when an WB is uploaded, this number categorises work in an accounting package.

  9. In the Contract Amount field, enter the amount to pay the Subcontractor for the line.
  10. (Optional) Add a new component.
    1. Use the Add New Component button to add new lines to the contract.
    2. Repeat steps 7 through 9. Enter the Item, Subcontract Item, and Contract Amount for each new component/cost code until the value of the WB equals the total value of the contract.

      Subcontractors see each component as separate Work Breakdown tables in a contract. The components can include multiple line items.

  11. (Optional). Use the Components tab of the table to add a tax code if tax must be paid for the line item. The project must be set up to include the the Allow Tax Rates to be Entered project setting.

  12. Select Save.

    A Status page indicates the contract has been created.
