Workflow for Serial Approval on Payment Applications Bypassing Electronic Notarisation

The workflow for approving payment applications which bypassed electronic notarisation is similar to that of approving a payment application notarised on TPM. These payment applications still require multiple payment application approvers to approve it in a specified order.

  1. The Subcontractor signs and submits a payment application, VAT Invoice, and any other required document, choosing to bypass electronic notarisation.

Note: Subcontractors can only bypass electronic notarisation on subcontracts which use the Subcontractor may bypass Electronic Notarisation setting.

  2. TPM will prompt the first signatory approver signer to approve the payment application packet. After the first approver signs and approves the payment application, the second payment application approver will see a task to approve the payment application packet. See Applying Serial Approval for a more in depth look at how to approve a payment application with the Signatory Serial Approval method.
  3. The Subcontractor prints their payment application and signs and has their document physically notarised.
  4. Once the Subcontractor has the document notarised, the user will scan and upload the payment application back into TPM.
  5. You approve the uploaded PDF.
    • This is a single approval to verify the Subcontractor uploaded the correct document.
    • The status of the document changes from Pending Approval to Approved on the Track Offline Notary page.
    • TPM combines the original document with your signatory serial approval signatures and the uploaded PDF into one file. This way, you have everything in one place.
    • This approved, combined document will be included in your documents on the Print Period Documents page.

See the Track Offline Notary for Main Contractors topic for more information on the bypass electronic notarization workflow.
