Creating Subcontracts Manually

If you use an accounting interface with the system, you should not manually create subcontracts.

To manually create a subcontract on the application:

  1. Navigate to the Create Subcontract Page

    The Create Subcontract page displays.

  2. Select the Select Organization button.

    A Select Organization dialog box opens.

    • Begin typing in an organization name or other details for a list of matching organizations to display in the dialog box.
    • By default, only organizations which operate in the same currency as your project display. You can only invite Subcontractors to participate on a project if your currency matches.
  3. In the Contract Number field, enter a number to identify the subcontract.
  4. In the Contract Date field, either enter the date the subcontract should begin, or select a date from the calendar dialog box.
  5. In the Description text box, enter text to identify the line item.
  6. (Optional) Select additional contract settings.
  7. Select the Save button.

    The Schedule of Values (SoV) for the subcontract displays.

  8. Select the cell in the Phase Code column, and then select the Find button.

    A dialog box displays.

  9. In the dialog box, select the line from your SoV to which the subcontract should link.
    • The application automatically completes the description field, based on the chosen phase code.
    • If you are not using Owner billing, you can link all subcontracts to a single line item.
  10. In the Contract Amount field, enter the amount to pay the Subcontractor on the project.
  11. (Optional) Add an additional component.
    1. Select the Add New Component button.

      A new line appears in the table.

    2. Repeat steps 8 through 10 for the new line.
      • Ensure the value of the SoV equals the total value of the contract. 
      • Subcontractors see each component as separate SoV tables in a contract. The components can include multiple line items.
  12. Select Save.
    • A Status page displays, confirming you successfully created and completed a contract.
    • The Subcontractor receives an invitation to accept the subcontract and participate in the project.
