Sub-Tier Lien Waiver Best Practices for Prime Subcontractors

Use these practices to keep Sub-Tier lien waiver records current and resolve outstanding items during each draw.

Keep Sub-Tier Records Current

Before billing, review your Sub-Tiers and confirm their contract details. When adding a Lien Waiver Only Sub-Tier, check its identifying information before selecting it. Record preliminary notice information and upload the notice when applicable to keep it with the Sub-Tier record.

If project documents require Sub-Tier tracking, record Sub-Tiers and their payment amounts during billing. This helps your team and the General Contractor identify which organizations need waivers for the draw.

Use Lien Waiver Status as a Worklist

Review Lien Waiver Status throughout the draw. Search by Sub-Tier name, contract, or service, and filter for missing, unapproved, or held waivers. You can view the previous four draws, all in-progress draws, or all draws. Use the Manage Lien Waivers by Draw page to review one Sub-Tier’s history.

Review Exceptions Before Updating Status

After reviewing a waiver uploaded for a Manual or Lien Waiver Only Sub-Tier, your General Contractor must update its status; uploading alone does not change the status. Before any status update, check the organization, draw, amount, and waiver type.

Note: If an On-System or Lien Waiver Only Sub-Tier’s waiver is invalid, add a specific rejection comment explaining what to correct.

Review compliance tasks and alerts for disputed text, disputed amounts, or effective-date changes. Confirm modifications only after review. If you or the General Contractor reject or replace a document, check its new status.

Confirm the General Contractor's Approval

Your status update does not complete the General Contractor’s approval. After forwarding or approving a waiver, check GC Approval. Follow up with the General Contractor on unapproved waivers or remaining payment holds. Project settings determine which missing waivers affect payment.
