Description.   Automatic Central Lookup

Internal Name. FORCE_AUTO_CENTRAL_LOOKUP

Property Determination. Provides the question “Do you wish to do a central lookup?” when searching for a profile that does not exist locally. Also, you are guided to do a central lookup when creating a reservation if the name you enter on the reservation cannot be found in the OPERA database.

Example of how Force Auto Central Lookup functionality works:

Profile Search (PRSRC_00):

When logged into a property not using OPERA Web Services (OWS) Profile Lookup, which means the site does not have a direct link between OPERA PMS and ORS but rather connects via OXI, the following applies:

Reservations > Profiles > Profile Search:

Filter for any profile which exists locally (i.e., Profile, Individual) and choose the Search button.

The system locates any matching local profiles that fit the search criteria and displays those results within the grid.

 

The Lookup button is available to select, which opens the Lookup screen (GUEST_SEARCH_GEN) to access guest profile information in an external database, for example, a guest loyalty program, a player tracking system, or the OPERA Customer Information System (OCIS).

If found, this information can be used to create a new profile.

The New button is also available in the case where OPERA does find possible matches and displays them on the Profile Search screen, but you can still perform a central lookup.

Selecting the New button at this point displays the prompt 'Opera - Do you wish to do a central profile lookup?' (Yes/No)

Selecting Yes to the prompt opens the Lookup screen (GUEST_SEARCH_GEN) to access the Lookup feature.

Selecting No to the prompt for a central lookup returns the user to the Profile Search screen (PRSRC_00), as intended.

Filter for any profile which does not exist locally (i.e. Profile, Non Existent and choose the Search button:

The system searches the database for any matching local profiles and when it does not find any, displays the prompt automatically 'Opera - Do you wish to do a central profile lookup?' (Yes/No)

Selecting Yes to the prompt opens the Lookup screen (GUEST_SEARCH_GEN) to access the Lookup feature.

Selecting No to the prompt for a central lookup returns the user to the Profile Search screen (PRSRC_00), as intended.

The Lookup button and 'New' button are both available to select, which will opens the Lookup screen (GUEST_SEARCH_GEN) to access guest profile information in an external database by performing a central lookup.

Selecting Yes to the prompt opens the Lookup screen (GUEST_SEARCH_GEN) to access the Lookup feature.

Selecting No to the prompt for a central lookup returns the user to the Profile Search screen (PRSRC_00), as intended.

In either case, whether the system finds local profile information or does not find local profile information a new profile cannot be made without first performing a central lookup, which is the intended 'force' part of this application parameter.

If the site would like to create a new profile without first being forced perform a central lookup, they should inactivate the parameter or change the profile lookup types setting to not include a specific profile type for this force prompt.

When logged into a property using OPERA Web Services (OWS) Profile Lookup, which eliminates the need for the OXI interface, the OWS Profile Lookup functionality provides direct communication between OPERA PMS and ORS (or between OPERA PMS and a third-party central system), making the transactions between the two systems more efficient and standardized. More fields can be used to search for a profile, with results providing additional information. Users can view the profile and choose to download it from the central system database.

The Lookup button opens the Lookup form (GUEST_SEARCH_ORS) to perform lookup functionality.

The New button allows for the user to create a new profile. You will be prompted to first select the type of profile you want to create.
