Sample Express BEO

Available in S&C when either the OPM_XXX or OPL_XXX license codes are active, or in PMS (OPP_XXX) when the DIARY application function is active; the Sample Express BEO report is a scaled down version of the regular BEO. Because the Express module does not utilize resources (menus, audio visual equipment etc), those items are suppressed in the express BEO as well. Instead, the Express BEO uses notes to explain details on the requirements.

Selection Criteria - Main Tab

Property. Available when OPS_MHT2 license is active. Choose the property for which the report should be printed.

Event Date Range. Enter the Event Date range of the booking you want to print this Banquet Event Order for.

Business Block. Use this option to select a Business Block from the Quick Business Block Search screen.

Event. Use this option to select an Event from the Event Search screen.

Order By. Use this option to select a sort order for this report. The options are:

Notes (Internal/External). Use these options to determine whether or not Internal or External Notes will/will not be printed on this report.

Exclude Alternate Events. When the application function Alternate Space is set to Y the Exclude Alternate Events is visible on the report form. When selected, Alternate Events will not be printed on this report.

Selection Criteria - Advanced Tab

Address Format. Select an available Address Format from the list of values.

Address Type. Select an available Address Type from the list of values.

Suppress Account Info. Select this option to suppress all account information associated with the Business Block.

Print Extended Characters. Use this option to print 'Double Byte' characters.

Increase Contract Prompt. Select this option to increase the contract number upon printing this report.

Report Data

This report is similar to the regular BEO in the way it is displayed. The top section of this report contains the Account Name, Contract Name, Contact Information, Contract Number, Sales Manager Name, Booking Type/Name and Representative Name. The next section contains booking information such as the event date, event time, function space, function type, setup, number of attendees expected and resource costs. Because resources are suppressed in Express properties, Notes are used to convey the types of resources required/requested. The last portion of this BEO contains any notes that were selected from the Main Tab of the report form, followed by the contract conditions. Lastly a section for the account and sales manager's signatures displays.

A text message that prints at the end of the BEO just before the signature section can be created or amended using Translation Studio in Utilities. This message typically would contain information on tax and service charge levels that apply to the items listed on the BEO.
