Print Vouchers

The Vouchers feature is available when the Reservations > Vouchers application function is set to Y. This feature allows the property to set up rules that will determine when vouchers are available to the guest and the value of those vouchers. Typically, vouchers would be "redeemable" for food and beverages or other products and services at the hotel. Whether or not vouchers are available to the guest can depend on the guest's membership type, membership level, stay dates, and so on.

If the guest is eligible for vouchers, they can be issued to the guest at check in by selecting the OK button on the Print Vouchers prompt or at other points during the stay by selecting the Miscellaneous > Vouchers menu bar option.

Note: To print vouchers, the VOUCHERS print task must be configured for your workstation. See Print Tasks for details. In addition, if the General > Profile Language application function is set to Y, the voucher form (sample_voucher in report group Vouchers) needs to be available in the guest's language (as configured on the guest's profile).

To access the Vouchers Print feature in order to check guest eligibility for vouchers and to print vouchers, select Miscellaneous > Vouchers. The Print Vouchers screen appears.

Search Criteria

The grid will display those reservations that are eligible to receive vouchers at any time during their stay. In other words, the grid will show both vouchers that are valid and to which the guest is entitled on their arrival date as well as vouchers that are not yet valid on the guest's arrival date but will become valid during the guest's stay.

If more than one membership type is attached to the guest's reservation and more than one of these memberships are configured for vouchers that are valid during the guest's stay, multiple records for the same reservation will appear in the grid — one for each membership type.

Property. Available when the OPP_MHOT Multi-property PMS add-on license is active. Select the down arrow to choose the property to print vouchers. The default is the current login property.

Arrival. Enter the arrival date of the reservations to print vouchers. The default is the current date. You may change the arrival date to a past or future date.

Note: Checked out, canceled, and no show reservations will not be returned by the search.

Membership Type. Select the down arrow to choose the membership type to print vouchers.

Membership Level. Select the down arrow to choose the membership levels (belonging to the membership types identified in the Membership Type field) to print vouchers.

Name. Enter the last name (or the first part of the last name) of the guest to print vouchers.

First Name. Enter the first name (or the first part of the first name) of the guest to print vouchers.

Printed/Not Printed. Select the option button that corresponds to the category of vouchers you want to display — those that have been printed or those that have not been printed.

Grid Fields

X. An X in this column indicates that the voucher has been selected for the Print, Copy or Delete function. Use the All and None buttons to select all voucher records or to unselect all voucher records.

Name. Guest's name (lastname, firstname).

Room. Room assigned to the reservation.

Arrival. Reservation arrival date.

Departure. Reservation departure date.

Membership Type. Membership types to which this voucher applies.

Level. Membership levels (for the membership types identified in the Membership Type field) to which this voucher applies.

Amount. Amount (value) of the voucher.

Print Vouchers

To print vouchers for reservations, mark and X in the X column next to the reservations to print vouchers. Select the Print button.

Note: If the reservations you select have already had all their vouchers printed, the Print button will not be available. To reprint vouchers that have already been printed, highlight your choice of reservation and select the Details button. (The ability to print vouchers and to reprint vouchers are controlled by separate permissions.)

OPERA will batch print any vouchers that have not already been printed for the selected reservations.

Examples
A $200 voucher is configured for PriorityClub members having a gold membership level. The voucher is valid from July 1 through July 31.
1. John Doe is a PriorityClub gold member staying the nights of July 5, July 6, and July 7. If this reservation is selected, three vouchers will print:
Voucher 1: valid for July 5 for $200
Voucher 2: valid for July 6 for $200
Voucher 3: valid for July 7 for $200
2. Joe Smith is a PriorityClub gold member staying for the nights of July 31 and August 1. If this reservation is selected, one voucher will print:
Voucher 1: valid for July 31 for $200.
3. Jane Jones is a PriorityClub gold member staying the nights of July 5, July 6, and July 7. Voucher 1 for July 5 has already been printed. If this reservation is selected, two vouchers will print:
Voucher 2: valid for July 6 for $200
Voucher 3: valid for July 7 for $200

Display Voucher Details

The Details button is available only if the Printed option button has been selected. You may display details only for one reservation record at a time. (The Details button is unavailable if more than one reservation is selected.) The Details screen shows vouchers that have already been printed for the selected reservation. You may use the Details screen to reprint vouchers for the current date of the guest's stay, or for future dates of the guest's stay.

Highlight a voucher record and select the Details button to display the Voucher Details screen. This screen shows the Voucher Number, Date and Amount for vouchers that have been printed for the selected reservation.
