Working with a Change Commit BP Record
To work with a change commit business process (BP) record:
- Open a change commit BP record from your Tasks log, workspace, or a BP tile.
For devices that support split view, select a record from the left pane and tap More
and select Edit from the right pane. You can also expand the right pane to put the record in Edit mode.
- Review the record.
For Text-type BPs, comments are displayed in the response list. Tap the Information
icon to view the comment, you can also download the attachment associated with a comment.
- Tap the Plus
icon.
- In the Main Form tab, complete the required fields at a minimum.
- To add line items, tap the Standard tab and then tap the Plus
icon. Note that the ability to add line items and cost breakdown is based on the design.
- Upon creating the line item, the following options are displayed:
- Lump Sum
- Unit Cost
- Variable Unit Cost
- Modify Committed Line Item
Note: Costs display the level of decimal places defined within areas such as Base Currency, Project Currency, and Transaction Currency, as well as currency pickers. The number of decimal places might include up to four digits after the decimal point, depending on how the BP record was designed.
- If you select the Lump Sum option:
- In the Line Item tab, enter the line item information in the Detail form.
- The Amount data element is editable, and any formulas defined in that data element are retained.
- The Item Quantity and the Item Unit Cost data elements, if present in the Detail form, are disabled.
- If you select the Unit Cost option:
- In the Line Item tab, enter the line item information in the Detail form.
- The Item Quantity and the Item Unit Cost data elements are editable and can be set as a formula in uDesigner.
- For cost breakdowns, the Amount data element is read-only and is always calculated based on the Unit Price formula as configured in uDesigner.
- If you select the Variable Unit Cost option:
- The Cost Line Item type is copied from the Reference Commit line item to the Change Commit line item and set to read-only.
- The Quantity and Amount data elements in the Summary Line Item are editable.
- If the selected line item has variable unit rates at costed lines, an additional column that was copied from the SOV is displayed in cost breakdowns.
- If you select the Modify Committed Line Item option:
- The Commit Line Item Picker is displayed.
- You can select any line item from the Commit Line Item Picker.
- The Cost Line Item type for fixed unit cost lines is Unit Cost while the Cost Line Item type for variable unit cost lines is Variable Unit Cost.
The following columns are available in cost breakdowns in the Committed Line Item for costed lines that were copied from the SOV:
- Cost Code and Code Name: Cost Code is read-only, and the value is populated from the Commit Line Item Picker for the SOV-referenced lines. For the new costed lines, Cost Code is editable and can be picked from the CBS Picker. Code Name is read-only and is populated by using the Cost Code selection.
- Short Description: Short Description is editable. By default, this data element is populated from the value in the Summary Line Item short_desc field. You can edit and modify this field.
- Current Quantity: Current Quantity is read-only, and the value for the existing lines is copied from the selected commit record. For the new costed lines, this column is empty and read-only.
- Current Unit Cost: Current Unit Cost is read-only and displays the Item Unit Cost value that comes from the selected commit record. For the new costed lines, this column is empty and editable.
- Current Scheduled Value: Current Scheduled Value is read-only and is populated with the scheduled value from the SOV for existing costed lines. For the new costed lines, this column is read-only with a value of 0.
- Change Quantity: Change Quantity is editable. You can enter the values for existing and new costed lines.
- Change Amount: Change Amount is read-only, and the value is populated from the Current Unit Cost calculation.
- New Scheduled Value: New Scheduled Value is read-only and is calculated from the combination of the Current Scheduled Value and the Change Amount.
- Tap Send (for workflow BP records) or Submit (for non-workflow BP records).
If you are working offline, the business record is saved on your device. The record moves through the workflow only when your device is set to Online mode and has network connectivity. If you have a file with annotations, it is also sent to the server along with the BP record information.
Actions in the Cost Breakdown Tab
In the Cost Breakdown tab of a Standard line item, the Delete option is displayed upon performing the swipe gesture on the costed line. If you want to remove a new costed line item, tap the Delete option to remove the costed line item. For Committed costed line items, like lines coming from the SOV, the Delete option is not displayed.
In the Cost Breakdown tab of a Standard line item, the Copy option is displayed upon performing the swipe gesture on the costed line. If you want to copy an existing line item, tap the Copy option to copy the costed line item. The current scheduled value is not copied.
After the Change Commit BP record is routed to the terminal step, the SOV is updated with modified Quantity and New Scheduled Value for costed lines that exist in the SOV. The variable unit rates that are provided in the cost breakdowns are rolled up to the SOV along with the Quantity and the Amount for new lines.
