(Batch) Room Assignment

Room Assignment is used to quickly and easily assign rooms to multiple reservations (for a specific arrival date) in a batch process. You can auto-assign rooms or you can step through a process to manually assign a suitable room to each reservation.

You can also select from a number of criteria when specifying the reservations to be assigned rooms. The default search is for reservations without rooms assigned, but you can modify the search as needed.

Auto Assign Rooms

  1. From the OPERA Cloud menu, select Front Desk, select Front Desk Workspace, and then select Room Assignment.

  2. Enter search criteria and click Search.

    Note:

    By default, only unassigned reservations are included in the search.

  3. Select reservations in the search results. To select all reservations, select the check box in the header row.

  4. Click Auto Assign.

  5. Select the Room Status and Room Criteria for the room to assign:

    1. Inspected. Select for rooms with an Inspected status.

    2. Clean. Select for rooms in a Clean status.

    3. Pickup. Select for rooms in a Pickup status.

    4. Dirty. Select for rooms in a Dirty status.

    5. Out of Service. Select for rooms in an Out of Service status.

    6. Include Departure Rooms. Select to include rooms in a due out status.

    7. Use Associated Preferences. Select to enforce the room feature preferences and smoking preference from the guest profile.

    8. Floor. Select floor(s) from the list. This populates with preferences from the guest profile.

    9. Smoking. Select rooms which are smoking or non-smoking. This populates with preferences from the guest profile.
    10. Features. Select rooms with specific features. This populates with preferences from the guest profile.
    11. Start from Room. Select a room from list to begin assigning the room.

  6. Click Assign.

  7. The Room Assignment Status page appears showing the room results. You can select from the following options:

    1. Sort By. Select a sort option for the display order of the results.

    2. Print. Click to generate a report of this information. A report appears in a new browser window for printing.

Manually Assign Rooms

  1. From the OPERA Cloud menu, select Front Desk, select Front Desk Workspace, and then select Room Assignment.

  2. Enter search criteria and click Search.

    Note:

    By default, only unassigned reservations are included in the search.

  3. Select reservations in the search results. To select all reservations, select the check box in the header row.

  4. Click Manual Assign.

  5. In the Room Search panel, enter the following search criteria:

    1. Inspected. Select to search rooms with an Inspected status.

    2. Clean. Select to search rooms in a Clean status.

    3. Pickup. Select to search rooms in a Pickup status.

    4. Dirty. Select to search rooms in a Dirty status.

    5. Out of Service. Select to search rooms in an Out of Service status.

    6. Room. Enter specific room number.

    7. Room Type. Enter or select room type(s). This defaults to the room type sold in the reservation.

    8. Room Class. Select one or more room classes.

    9. Floor. Select floor(s) from the list. This populates with preferences from the guest profile.

    10. Features. Select rooms with specific features. This populates with preferences from the guest profile.

    11. Smoking. Select rooms which are smoking or non-smoking. This populates with preferences from the guest profile.

    12. Connecting Rooms. Select to show only rooms that are connecting rooms.

    13. Room Conditions. (Appears when the Rooms Management, Room Conditions control is enabled in OPERA Controls.) Select to include rooms with a room condition assigned (includes those with a room condition flagged as "Do Not Display in Room Assignment"). See Room Conditions for more information.

    14. Attendant in Room. Select to restrict the search to only rooms with a housekeeping room attendant currently in the room based on an active housekeeping task.

    15. Include Departure Rooms. Select to include rooms in a due out status.

    16. Departure Time. (Enabled when Include Departure Rooms is selected.) Enter a specific departure time to limit the search to rooms due out after this time.

  6. Click Search. If no results are found, you can modify your selection criteria.

  7. In the search results, click Assign Room for the room to be assigned to the reservation.

Once a room is assigned to the reservation, the next reservation appears. Assign a room to the reservation by repeating the steps above to enter room search criteria and assign a room.

Overriding Room Selection (if prompted)

In the Room Search, you might be prompted to select another room if the room you assigned is unavailable.

  1. Click Select Another Room (if prompted) to return to the search results and assign an alternate room.

  2. Click Accept Room Selection to accept the warning and continue with the room assignment.
