Private or Non-Public Bidding

For private non-public bidding, where you want to select who is invited to bid, the "Allow public bidding (no pre-defined bidders)" option is deselected in uDesigner.

In the Invitations window, click Add, select vendors, and click Invite to send the invitation to the Vendors. See the "Additional Information about starting a bidding process" section below for details.

Private Bids: Requestor BP - Invite form

In an RFB, the Requestor can send an email to the bid-invitees from the Linked Mail tab. The Requestor is also able to send emails from the Invite form. The Invite form enables the Requestor to add attachments while the bid is open.

Note: On the Attachment tab, the attachments must be identified as being added as addendums. So when the Bidder opens the bid (or views the bid) from the log, the newly added attachments are shown as addendums for the open bids.

When you select the Invite option (from the menu icon), the Invite overlay page opens. On the left-hand pane, the following blocks are displayed:

General block

The requestor information is displayed in the General block. This block contains the following fields:

  • Title
  • Requestor Name
  • Phone
  • Due Date
  • Email

Invitation block

The information related to adding invitees, as well as the list of the existing invitees (vendors) to whom an invitation has been sent or will be sent, are displayed in the Invitation block. This block contains the following toolbar options:

  • Add

    To show a list of all vendors who can receive bid invitation. You can select more than one vendor.

  • Send
    • Invitation

      To send a bid invitation to all of the selected vendors, under the invitation section.

    • Password

      To send a password to all of the selected vendors, under the invitation section. The system sends the system-generated password to every invitee (with invitation), whenever the send password is used.

      Note: The Password option is not available for Unifier Oracle Identity Manager (OIM) users.

    • Mail

      To send email to the invitees, instead of using the linked mail option, when the bid is open. All of the sent emails are displayed within the Mail tab (on the right-hand pane) and also within the linked mail tab on the BP form.

  • Delete

    To delete any entry in the selected vendors, under the invitation section.

  • Find on Page

    To find an item by searching in a column.

On the right-hand pane of the Invitation block, the following tabs are displayed:

  • Attachments tab
  • Mail tab

The following explains each tab in details.

The Attachments tab has two sections:

  • Unpublished Attachments

    The attachments added from the Browse option are displayed under the Unpublished Attachments. The Unpublished Attachments has two sections:

    • Addendums

      When the bid is still open, it lists all of the additional attachments that have been added, using the Browse option (the paper-clip icon) in the invite form.

    • Original Attachments

      Lists attachments that have already been sent as part of the bid invitation (and are originally attached to the Requestor form (Request for Bid) through the Browse option) but have not been published, yet.

  • Published Attachments

    The attachments added from the Document Manager option are displayed under the Published Attachments. The Published Attachments has two sections:

    • Addendums

      When the bid is still open, it lists all of the additional attachments that have been added, using the Document Manager option (the paper-clip icon) in the invite form.

    • Original Attachments

      Lists attachments that have already been sent as part of the bid invitation (and are originally attached to the Requestor form through the Document Manager option) but have been published.

 

There are two ways to add attachments (click the paper-clip icon):

  • Browse
  • Document Manager

When you click to add an attachment, Unifier displays the message: All the invitees will receive the addendums. Do you want to continue?

  • If you select, Yes, then you can add the attachment.
  • If you select, No, then the Upload File window does not open.

Any attachment that gets added under the Attachments tab will be shown in the Requestor form (Attachments tab), as Addendums.

You must send emails to all invitees regarding any added, removed, or updated attachments to the bids.

The gear menu, for the items within the Attachments tab enable you to conduct the following functions on each item:

  • Revise: To revise the document contents.
  • Review: To review the document contents.
  • Download: To download the document.
  • Remove: To remove the document.

When you select any of the gear menus, Unifier displays the message: All the invitees will receive the addendums. Do you want to continue?

The Attachments tab log (grid) columns in the Invite form and the Requestor form are similar to any other BP form. The Upload Date column (under the toolbar section and to the right) lists the dates that each attachment was uploaded.

Any Attachments that are added from the Invite form as addendums are shown in the Attachments tab of the Requestor form (as addendums) once the form becomes editable. The attachments that were added as addendums can be identified under the Addendums section, under unpublished or published documents.

All additional attachments that have been added from the invite form and sent to bidders are shown under the Attachments tab, in the BP log, but they will be listed as addendums.

The Mail tab:

The Mail tab lists all of the emails sent to bid invitees. When you select Send > Mail from the Invite form, a new email window will display which contains the following columns, similar to the Linked Mail tab:

  • Flag: Flagged mails can be identified by using this column.
  • Attachments: When attachments are added to an email, then the Attachment icon is seen.
  • From: Shows the requestor name (logged in username).
  • To: Shows the selected bid invitees. You can select one or more invitees, and you can send emails while the bid is open.
  • Subject: Shows the subject of the email that is sent.
  • Date: Shows the date the email is sent.

Unifier adds the sent emails (from the Invite form) to the Mail tab in the Invite form, and the Linked Mail tab in the Requestor form. The sent bid-invitations are displayed in the Mail tab of the Invite form.

Note: Emails must be sent through the Invite form, only. The Linked Mail tab does not allow you to send emails to the bid-invitees.

The emails sent to the bid-invitees, from the Invite form, are shown in the Linked Mail tab, also.

All the mails sent to bid invitees from the Invite form should also be shown in Linked Mail tab.
