Analyzing Enterprise Data Usage

The Display Usage Data dialog box allows you to specify which projects can be considered obsolete and which data items can be considered inactive. You can also specify the conditions under which P6 will select the Select Column option for data items to signify that they are candidates for deletion.

To analyze enterprise data usage:

  1. Click the Actions menu, and select Get Usage Data.
  2. In the Display Usage Data dialog box:
    1. On the Obsolete Projects tab
      • Select the Project Statuses that signify a project is inactive.
      • Select the Last Summarized Before option and select a date to signify that projects most recently summarized before that date can be considered inactive.
      • Select the Last Published Before option and select a date to signify that projects most recently published before that date can be considered inactive.
      • Select Next.
    2. On the Usage tab:
      • Select a date in the Last Assigned Before field to signify that date items most recently assigned before that date can be considered inactive.
      • Select Next.
    3. On the Select Column to Check tab:
      • Select the Never Used option to assign the Select Column option to data items not used in any project in the database.
      • Select the Last Assigned Before option to assign the Select Column option to data items most recently assigned before the date you selected on the Usage tab.
      • Select the Inactive Project Percentage >= option and specify a value to assign the Select Column option to data items if the percentage of their assignments that are to inactive projects is equal to or higher than the value you specify.
      • Select Select.
