Absence Entitlement

Description

VACACIONS

Vacations: The annual entitlement is defined in the Contract Data table. The default vacation entitlement is provided from the Labor Agreement level. You can use the default or override it on the Contract Data page. A portion is assigned by corresponding days according to pay periods (1/365 of the total entitled days for payees with a daily pay frequency, 1/360 of the total entitled days for payees with a monthly pay frequency). This portion is 1/366 in a leap year. The system retrieves the vacation entitlement data using the GEN AR PUESTO TRBJ array. The accumulator AUS AC VAC ANOANT stores vacation not taken at the end of the year and is generated during December's payroll process. Depending on your company's vacation policy, you should add the value of this accumulator to the affected elements for the new year.

PERM PAGADS

Additional paid time off (PTO): The additional PTO entitlement is for the entire year (or the proportional part of the year for new hires) given at the beginning of the year. Entitled days are stored in the Labor Agreement table, and the system retrieves the additional PTO data using the GEN AR CONVENIO array. PTO that is not taken by the end of the year is lost.

PERM PARENTAL

Parental Leave: This entitlement is executed for the first instance of the absence for each child. It allows calculation of some balance accumulators that will provide information about the number of days enjoyed, and number of days still pending.

The absence type is used to categorize the absence take and define the effect on payroll. This table lists the delivered absence types in PeopleSoft Global Payroll for Spain:

Note: Absence take rules use earnings and deduction elements, elements that retrieve units for positive input, and elements that retrieve percent for positive input. The user-defined field system elements TAKE CONFIG1 through TAKE CONFIG4 are used in each of the absence take rule definitions.

Additional Guidance for Delivered Absence Takes

When establishing an absence event for Legal Custody, in addition to entering an absence event using the Guarda Legal absence take you must:

  • Enter a new row of data for the employee in the Job Data component to change the employee to part-time for the period of Legal Custody.

  • Update the employee's compensation using one of two options:

    1. Maintain compensation according to the full time schedule and enter an FTE that is less than 1. The system reduces compensation by applying the FTE.

    2. Reduce the employee's compensation and keep FTE equal to 1.

  • Specify the working hours that the system should use during the payroll process using one of two options:

    1. Override the variable CLI VR RED JORNADA with the real working hours per day. In this case, the system pays for the whole month (30 days every month for a monthly employee) manages the employee as regular part time.

    2. Assign a work schedule to the employee. In this case, the system pays for the actual workdays according to the schedule and manages the employee as irregular part time.

For the Guarda Legal and Jornada Reducida absence takes, the percentage of reduction must be specified in the EVENT CONFIG1 field as a decimal (percentage of reduction in decimals), for example, 50% = 0.5 and 40% = 0.4.

For the Maternidad Parcial, Paternidad Parcial, and Cuidado Menor absence takes, the nonworking number of hours must be specified in the Partial Hours field, and you must ensure that you check it for all days following the Details link.

For the Guarda Legal, Maternidad Parcial, and Paternidad Parcial absence takes, the system automatically generates segmentation triggers for the begin and end dates. The triggers are defined for the GPES_ABS_TRIGR1 and GPES_ABS_TRIGR2 tables.

Use the AT/EP PRORROGADA and IT PRORROGADA absence takes only for the period of time after the twelve months allowed for the AT/EP and IT absence takes, respectively.

For Permiso Parental leave:

  • when entering the absence event, the user will be prompted to enter the birth date of the child that enables this absence. This is to be entered in the User Define field 1, in the Details subpage. System displays the label ‘Child Birth Date’ in case of this absence take.

  • user can make use of the Forecasting functionality by pushing the button Check Eligibility. System will tell him if there is enough balance for the absence request. To have that available customer will need to setup forecast transaction and a calendar group to be used as template

  • Customer can setup their own rules for this absence take by changing the value of the setup variables through absence take supporting element override:

    (Parental leave entitlement)

    This variable contains the number of days of entitlement corresponding to Parental Leave per child (8 weeks). It can contain 40 or 56 days, depending on the value of the variable CLI VR MODO CONT. If CLI VR MODO CONT =’N’ then variable should be setup to 56 (default value). If CLI VR MODO CONT =’L’ then variable should be setup to 40.

    CLI VR MODO CONTEO

    This variable tells the system how to count the enjoyed days of Parental leave.

    Possible values are:

    • N: Natural days. System computes all the natural days during absence period (default value).

    • L: Labor days. System computes just the working days, based on the agenda assigned to the employee and the holiday schedule.

ABSENTISMO PR

Contains the six delivered sections (AUS SE INICIO, AUS SE HORAS, AUS SE DIAS NO SS , AUS SE DIAS SS, AUS SE PROCESO and AUS SE GEN PI). This process list combines the entitlement and take processes.

Use ABSENTISMO PR as is, modify the list to meet your needs, or create your own process lists for absence processing.
