Enabling ChartField Security

PeopleSoft enables you to restrict access to your financial data within PeopleSoft Cost Management and across all PeopleSoft Financials Supply Chain Management (FSCM) applications. The ChartField Security feature prevents unauthorized employees and contractors from viewing and editing financial data. Other security features within PeopleSoft enable you to restrict access by business unit, ledger, SetID, paycycle, book code, and project ID; however, the ChartField Security feature enables you to restrict access to specific financial data by restricting access to a ChartField value or combination. Security by ChartField combination enables you to allow access to most financial data (such as inventory accounts or accounts payable balances) and still restrict access to sensitive data (such as executive salaries or travel accounts). Using ChartField security, you can enable access to sensitive ChartField combinations by:

  • User IDs

  • User roles

  • Permission lists

Within PeopleSoft Cost Management, the following methods can be used to enforce ChartField security:

  • Securing the prompt edit table values: When a user clicks the prompt button or enters a value in a field containing a ChartField (Account, Department ID, and so on), then the system only displays values that the user is authorized to view.

  • Securing inquiry results list: When a user is entering a component, the search results are limited to transactions containing ChartField combinations that the user is authorized to view.

  • Securing transactions from a component search list: When a user is entering a component, the search results display all applicable transactions; however, if the user selects a transaction containing a restricted ChartField combination, then an error message is displayed and the user cannot access the transaction.

The following components in PeopleSoft Cost Management can be restricted with ChartField security:

  • Adjust Average Cost (securing the prompt edit table values).

  • Adjust Retroactive Cost (securing the prompt edit table values).

  • Accounting Entries inquiry (securing inquiry results list).

  • Unposted Accounting Lines inquiry (securing transactions from a component search list).

  • Posted Accounting Lines inquiry (securing transactions from a component search list).

  • CM/AP Reconciliation Summary (securing inquiry results list).

  • CM/AP Reconciliation Detail (securing inquiry results list).

  • Inventory Transactions - Transaction Entries inquiry and Inventory Transactions - Transaction Details inquiry (securing transactions from a component search list).

  • Earned Conversion Costs - Transaction Entries inquiry and Earned Conversion Costs - Transaction Details inquiry (securing transactions from a component search list).

  • Production Variances - Transaction Entries inquiry and Production Variances - Transaction Details inquiry (securing transactions from a component search list).

  • Production Scrap Costs - Transaction Entries inquiry and Production Scrap Costs - Transaction Details inquiry (securing transactions from a component search list).

  • Production Actual Costs - Transaction Entries inquiry and Production Actual Costs - Transaction Details inquiry (securing transactions from a component search list).

  • Standard Cost Revaluations - Transaction Entries inquiry and Standard Cost Revaluations - Transaction Details inquiry (securing transactions from a component search list).

  • Avg Cost Adjustment Entries- Transaction Entries inquiry and Avg Cost Adjustment Detail - Transaction Details inquiry (securing transactions from a component search list).

  • Actual Cost Adjustment Entries- Transaction Entries inquiry and Actual Cost Adjustment Detail - Transaction Details inquiry (securing transactions from a component search list).

  • Non Stock Shipment - Transaction Entries inquiry and Non Stock Shipment - Transaction Details inquiry (securing transactions from a component search list).
