ITT Return: Previous Qualification

A Previous Qualification entity is created for each student extract entity from either the most recent Apply Degree record or the most recent External Degree record.

  • For the most recent Apply Degree record:

    • Selected from SAD_UC_AQUAL where Qualification Category (SAD_UC_QUAL_CATG) is D (degree).

    • If an applicant has applied to the institution more than once, there may be multiple records so the most recent application record is used. If an applicant has more than one degree record for the most recent application, the most recently completed degree is used.

    • Select the INSTITUTION, SAD_UC_PERS_ID and SAD_UC_APPCODE from the first record for the EMPLID from SAD_UC_APPLREC, where SAD_UC_SYSTEM = APPL, ordered by SAD_UC_APPYEAR desc (that is, most recent cycle) and then SAD_UC_APPCODE desc (that is, most recent application ID for the most recent cycle).

    • Select the first record from SAD_UC_AQUAL for the combination of INSTITUTION, SAD_UC_PERS_ID and SAD_UC_APPCODE, where SAD_UC_QUAL_CAT = D (degree), ordered by SAD_UC_DEGENDDT desc (that is, the most recently completed degree).

  • For the most recent External Degree record:

    • Records are selected from EXT_DEGREE where the DEGREE value is mapped to a Previous Degree Type (DEGTYPE) in the Degree Table, and the Degree Date is on or before the reporting period end date.

    • If there is more than one selected record, the record with the most recent Degree Date is used.

If neither record exists, an entity isn't created.

Note that a degree entity isn't required to create an undergraduate trainee record in Register.

For all field derivations:

  • If NULL ERROR has been derived, the Field Status is set to Error.

  • If a Derived Value is not blank, the Field Status is set to New.

  • If a Derived Value is blank, the Field Status is blank.

If the Compare Extract with Submitted Data is not selected, the Entity Status is set to:

  • Error when there is at least one field that has Field Status of Error in the extract.

  • New for all other entities.

Note that all the fields in the entity are specific to the ITT return and are not used in Data Futures.

Field Derivation Rule: Include for all entities

Derivation Steps:

  1. If the value is not GB, XF, XG, XH, XI, or XK, derive from Entry Profile HESA Data.

  2. If the value is not GB, XF, XG, XH, XI, or XK, derive from Apply Application - Qualifications. The most recent application for the most recent cycle is used. If there are multiple degree records, the record with the most recent end date is used.

  3. If the converted Country Code is not GB, XF, XG, XH, XI, or XK, derive from the External Organization Location page.

    Select the most recent External Degree record with Degree Status of Complete where the Degree Date is on or before the reporting period end date. If there are multiple locations for the External Organization, select the lowest Location ID value for the most recent effective dated location record.

    If the Country code exists in the HESA Nationality mapping, select the mapped Nationality code. Otherwise, convert the 3-character Country code to the 2-character code (COUNTRY_2CHAR) via the Country Table.

  4. Derive as null.

  4. Use default.

  5. Derive as NULL ERROR.

Note: A value can be defined in Entry Profile to override the value derived from either the Apply Qualification or External Degree.
