Creating an Allocation Template

To create an Allocation Template for a Lease BP:

  1. Go to the shell tab, and switch to User mode.
  2. In the left Navigator, select Logs, and then select the applicable sub-node, such as Leases.
  3. From the Leases log, open the Lease BP (in Edit mode) that you want to create the template for.
  4. From the More Actions menu, select Allocation.
  5. In the Allocation Templates window, select Create.
  6. In the General section of the right pane, complete the following fields:
    • Allocation Name: Enter a name for the template.
    • Payment Type: Select the payment type that should be used for the allocations.
    • Allocation Type: Select the type of allocation to use for the pro-ration.
      • To prorate the lease according to the square footage each tenant occupies, select Area.
      • To allocate a fixed cost to each tenant, select Fixed.
      • To pro-rate the lease according to the percentage you specify, select Percent.
  7. To add cost codes to the template, select Create.

    You can add multiple cost codes individually by using the + option. You can also use Export to download a CSV file, update the file, and then use Import to add the codes.

  8. Complete the Allocation Value field.
    • If you selected Percent, enter the percentage of the lease that should be paid by the tenant. The values in all these fields must add up to 100%.
    • If you selected Fixed, enter the lease amount that should be paid by the tenant.
    • If you selected Area, enter the square footage for which the tenant is paying.
  9. To add additional templates, select Save & Add New, or select Save to save your changes and close the window.

    The template, which you can identify by the Allocation Name, is added to the list that you use for the record or line items that you create.
