Using the Combined HELP Limit API

From January 1, 2020, HECS-HELP loan amounts combine with FEE-HELP amounts to form students’ combined HELP balance and usage. Because of this, the HECS reconciliation process will reference the students’ HELP balance before deferral amounts are posted to their accounts. Students are selected by their TCSI UID, USI, or CHESSN (in that order) depending on what data is available.

Access the Get HELP Balances page (Student Financials > Tuition and Fees > Australian Loan Processing > Get HELP Balances).

When you use this page, you use the HELP Balances API to retrieve balance records according to the parameters you specify. The records are inserted in a new effective-dated row in the SCC_CHESSN_AUS table.

Select a term from which records are chosen.

When you select:

  • All Students, the process identifies all students who have values in their student career term (STDNT_CAR_TERM) for the term you selected.

  • Required Only, the process identifies all students where the tuition calculation date on their student career term record (STDNT_CAR_TERM.TUIT_CALC_DTTM) is greater than the CHESSN Data - HELP Loan Entitlement - As At Date.

  • Search by Student ID, a Student grid appears where you can enter an EMPLID. When you run the process, records for the selected student appear.

Population Selection

The Population Selection group box is a standard group box that appears on run control pages when the Population Selection process is available or required for the transaction. Selection tools are available based on the selection tools that your institution selected in the setup of the Population Selection process for the application process and on your user security. Fields in the group box appear based on the selection tool that you select. The fields behave the same way from within the group box on all run control pages and application processes. If your institution uses a specific delivered selection tool to identify IDs for a specific transaction, you must use it.

When you create queries, you must use the bind record SSF_HLP_BND_STU. This bind record retrieves both the EMPLID and name.
