(GBR) Tracking Neonatal Care Leave

The Statutory Neonatal Care Leave and Pay (SNCP) in the UK, effective from April 6, 2025, enables eligible employees to take up to 12 weeks of paid leave within 68 weeks following their child's birth. This provision applies when a newborn requires neonatal care within 28 days of birth and has spent a minimum of seven consecutive days in such care. The amount of leave entitlement is determined by the duration of the baby's stay in neonatal care. Employees can access this leave from their first day of employment, provided they have been employed for at least 26 weeks by the end of the qualifying week and earn above LEL per week. Leave can be categorized into Tier 1, which allows for non-consecutive blocks of at least one week during the period the baby is in Neonatal Care plus 1 week, and Tier 2, which must be taken as a continuous block after neonatal care concludes. All leave must be utilized within 68 weeks from the date of the child's birth.

Maintain Neonatal Leave page

Upon selection of employee in the search criteria, the following employee information will be displayed.

  • Employee Name

  • Empl ID

  • Empl Record

  • Regulatory Region – England – United Kingdom

Field or Control

Description

Dependent ID

Select the relevant Dependent ID.

The dependent ID refers to the Employee's infant currently receiving Neonatal care. The user must input the baby's information on the Dependent Information page to activate the dependent ID on this page.

Note: The user must enter the dependent details in dependent information page and the check box “Eligible for Parental Leave” must be selected.

Upon selection of Dependent ID, the Dependent Name and Date of birth will be displayed.

Note: The “Eligible for Parental Leave” check box must be selected in Dependent Information - Personal Profile page to display the dependent details in Maintain Neonatal Care Details page. For details on Dependent Information, see Dependent Information - Personal Profile Page.

Multiple Birth

In case of multiple birth, select the check box. This would ensure no overlap of Neonatal Care is entered.

Eligible Statutory Absences

Select if the employee is entitled for any other statutory absences.

  • Statutory Maternity Pay

  • Statutory Adoption Pay

  • Statutory Paternity Pay (Birth)

  • Statutory Paternity Pay (Adoption)

  • Others - If the employee is not entitled for any of the above pay but eligible for Neonatal Care.

If the user selects SMP or SPP (Birth) then the user must enter the actual week of childbirth in Absence Event GBR page.

If the user selects SAP or SPP (Adoption) then the placement date and match notified date should be entered in the Maintain Neonatal Care leave page and Absence Event GBR page.

In case of Others the user must enter the date in a new field “Actual Week of First Neonatal Care” that is introduced in Additional Details section of Absent Event GBR page.

Total Leave Entitlement in Weeks

This will automatically calculate based on the leaves entered in the neonatal care details. The maximum entitlement will be 12.

Neonatal Care Details

In case of multiple Neonatal Care period for the same dependent user need to add separate row for each care period. User can enter multiple start date and end date for the same dependent, however the stat date must be within 28 days from the childbirth and the duration must be minimum of 7 days.

Care Start Date

Enter the start date of the neonatal care.

Care End Date

Enter the end date of the neonatal care. If the dependent remains hospitalized, you may leave this field empty.

Care Days

Total days the baby in Neonatal Care; this will automatically calculate based on the start date and end date of the care. If the end date is blank it is calculated based on the system date.

Leave Entitlement Weeks

The total number of weeks a baby spends in Neonatal Care; this will automatically calculate by number of days the baby is in care divide by 7. This figure is then rounded down to reflect completed weeks.

Neonatal Care Leave Details

Leave Type

Select the leave type as Tier 1 or Tier 2 based on the eligibility.

  • Tier 1: Leave applies to parents who take their leave while their child is in neonatal care or in the first week following the care end date.

  • Tier 2: Leave taken after one week from care end date.

Notification Date

Enter date when the employee notified for taking the leave.

  • Tier 1: No validation

  • Tier 2: The notification date for Tier 2 must be before 2 weeks and 1 day before the begin date, if the leave is entered for 1 week, before 4 weeks and 1 day before the begin date of leave.

Begin Date

Enter the start date of the leave for the leave type selected.

End Date

Enter the End date of the leave for the leave type selected.

Duration (Weeks)

Displays the leave duration. It will be calculated automatically based on the begin date and end date of the leave entered.

Comments

Enter any additional information, if required.
